Store Coordinator

Role Summary

The Store Coordinator will lead and manage the home healthcare medical supplies stores, ensuring an uninterrupted, secure, and cost-efficient availability of medical consumables, medications, IV solutions, vaccines, and related materials essential for home care services.

Core Duties and Responsibilities

• Oversee daily operations of home healthcare stores across multiple locations and shifts, ensuring policy adherence and operational excellence.
• Assign responsibilities and shift schedules to storekeepers for adequate coverage during mornings and evenings.
• Conduct regular inspections of storage facilities to confirm organizational standards, cleanliness, safety, and compliance with regulations.
• Establish and review inventory par levels and reorder thresholds in collaboration with nursing, supply chain, and finance teams.
• Analyze consumption patterns to minimize stock shortages, excess inventory, waste, and expiry of goods.
• Approve and consolidate requisitions from stores to the central supply, monitoring pending deliveries diligently.
• Lead periodic physical inventory checks, reconciling counts with electronic records.
• Identify slow-moving or near-expiry stock and coordinate redistribution or usage plans with clinical teams.
• Verify receipt of supplies from central stores and approved vendors, ensuring accuracy in product codes, quantities, batch numbers, and expiry dates.
• Maintain proper storage conditions according to item type, safety, and infection control standards.
• Oversee cold chain management for vaccines and temperature-sensitive items, including continuous temperature monitoring, documenting excursions, and activating contingency plans as needed.
• Implement first-expiry-first-out (FEFO) and first-in-first-out (FIFO) stock rotation across all stores consistently.
• Design and standardize issuing procedures and requisition forms (both manual and electronic) to support clinical teams.
• Manage preparation and routine review of standardized clinical kits and bags for various procedures.
• Ensure traceability of patient-specific and high-cost items when applicable.
• Coordinate with nursing leadership to anticipate demand based on campaigns, seasonal factors, and new initiatives.
• Administer trial requests for new items in collaboration with nursing, supply chain, and procurement teams; collect clinical feedback and submit summary recommendations.
• Maintain up-to-date master data on items, ensuring alignment with shared services and vendor evaluations as required.
• Ensure full compliance with organizational policies, CBAHI/JCI standards, MOH regulations, and other relevant requirements in all store processes.
• Develop and implement standard operating procedures encompassing supply management, temperature excursions, product recalls, and incident responses.
• Lead internal audits and manage coordination for external regulatory inspections, ensuring thorough documentation and traceability.
• Monitor and report on non-compliance issues, near misses, and incidents, instigating corrective and preventive measures.
• Oversee accurate data entry in inventory management systems and related tools, generating reports on stock status, wastage, consumption, and costs.
• Support budgeting, forecasting, and cost control activities through reliable data reporting.
• Identify training needs for storekeepers and drive competency-based development programs and onboarding.
• Conduct staff performance appraisals, providing constructive feedback and guidance for improvement.
• Promote a team culture centered on precision, responsibility, and proactive problem resolution.
• Serve as principal liaison between nursing, supply chain, pharmacy, finance, and other departments regarding supply matters.
• Communicate effectively with clinical leadership on supply availability, item substitutions, standardization, and usage management.
• Participate in relevant committees related to infection control, quality assurance, medication safety, and facilities management services as required.
• Uphold professional integrity and confidentiality when handling stock, records, and financial data.
• Exemplify punctuality, accountability, and professional conduct to foster a strong team ethic.

Qualifications and Experience

• Minimum of three years’ experience in stores, logistics, or supply chain functions, preferably within medical or healthcare environments.
• Experience in hospital or home healthcare supply chain management is beneficial.
• Strong understanding of inventory control and stock management principles.
• Knowledge of cold chain logistics and proper storage of medical supplies.
• Proficient with ERP software and Microsoft Office applications.
• Diploma in Logistics, Supply Chain, Business Administration, or a related discipline; additional certifications or courses are favorable.
