Job Overview
The role of Specialist, Learning and Development – Training Operations involves managing the administrative, logistical, and operational aspects that underpin Y-USA's comprehensive training and learning delivery systems. This position ensures smooth scheduling, processing of registrations and refunds, reimbursement management, and event-related administrative tasks. Collaboration with Learning Centers and internal departments is essential to providing consistent, efficient, and high-quality training activities that empower the YMCA network.
Team and Culture
The Learning & Development team focuses on enhancing organizational capabilities by designing and delivering learning opportunities that advance skills, foster leadership, and encourage career development. The team partners closely with business leaders to identify talent needs and creates programs that enhance performance, engagement, and future readiness, covering areas such as training strategy, instructional design, facilitation, technology-supported learning, and continuous improvement.
Responsibilities
- Manage administrative workflows supporting course scheduling, trainer and faculty communications, and training logistics aligned with governance standards and planned processes.
- Accurately handle registration processing, payments, refunds, and reimbursements, coordinating with finance and internal teams to ensure compliance with policies.
- Coordinate back-office operations including data entry, documentation, communication, and record-keeping to facilitate reliable reporting and smooth learning delivery.
- Provide logistical and administrative aid for national training events such as contract coordination, travel and lodging arrangements, material distribution, registration tracking, and post-event activities.
- Assist with certification administration for instructors, trainers, and faculty by managing applications, tracking retraining needs, maintaining records, and communicating statuses to involved parties.
- Work collaboratively with Learning Centers and Y-USA partners to guarantee accurate, timely information flow and consistent training service delivery.
- Identify and recommend operational improvements to enhance efficiency and consistency within set governance frameworks.
- Offer general administrative and operational assistance to the Learning Centers function, including scheduling and meeting coordination.
Qualifications
- Bachelor’s degree in Business or a related field is required.
- 2 to 4 years of relevant work experience.
- Intermediate level of functional skills and familiarity with the industry.
- Capable of managing both routine and advanced functional tasks.
- Strong internal and external communication skills.
