About the Role

FMS Group is looking for an organised and proactive Scheduler / Planner to become a key player within our Planning team based in Mackay & Coalfields, Queensland. This permanent, office-based position involves coordinating workforce schedules to ensure optimal personnel deployment, supporting operational goals, and maintaining effective communication with stakeholders including Operations Managers, Recruitment, Payroll, clients, and employees.

Key Responsibilities

  • Develop and maintain workforce rosters and manning schedules.
  • Track workforce availability and anticipate labour shortfalls.
  • Coordinate labour sharing across divisions and engage subcontractors when necessary.
  • Distribute rosters and communicate work schedules to employees.
  • Verify employee site access and ensure compliance with training requirements.
  • Arrange accommodation and prepare journey management plans as needed.
  • Audit rosters for fatigue compliance, role appropriateness, training status, and workforce capabilities.
  • Process timesheets accurately for payroll and invoicing.
  • Maintain strong communication channels and assist employees with workforce-related inquiries.
  • Coordinate uniform distribution and onboarding protocols.
  • Manage workforce training requirements within planning systems.
  • Maintain accurate employee and subcontractor records by liaising with internal teams.
  • Provide additional administrative support to Operations as required.

Candidate Profile

Successful applicants will have prior experience in scheduling, planning, or workforce coordination roles, with a focus on safety and compliance. Strong organisational skills, excellent interpersonal communication, and proficiency in Microsoft Excel are essential.
