Role overview

The Sales Operations Associate will help keep the sales engine running efficiently by supporting contracts, CRM accuracy, reporting, billing workflows, and cross-team coordination. Key responsibilities

  • Keep HubSpot clean and up to date by maintaining contacts, deals, products, and tickets.
  • Update CRM records promptly so the team always works from current information.
  • Track the student journey from inquiry through enrollment and identify blockers or drop-off points for sales leadership.
  • Regularly review CRM records for duplicates, missing fields, outdated entries, and data quality issues.
  • Set and uphold standards for data entry so reporting remains accurate and dependable.
  • Build checks, validation logic, and required-field rules that reduce bad data from entering the system.
  • Compare CRM data with billing, contract, and enrollment systems and resolve mismatches.
  • Maintain internal documentation for data definitions, field usage, and naming rules.
  • Reconcile transactions across Stripe and PaySimple and ensure payments are recorded correctly.
  • Run collections follow-ups for overdue balances, coordinate with clients, and escalate issues when needed.
  • Help improve billing policies, installment structures, and payment workflows as the business grows.
  • Investigate payment failures, disputes, and refund requests in a timely and professional way.
  • Pull lists, generate standard reports, and share accurate data with sales operations leadership.
  • Document sales processes, playbooks, and SOPs, while identifying ways to simplify and improve them.
  • Support evaluation and rollout of sales tools and integrations that reduce manual work and improve productivity.
  • Stay current on CRM capabilities, AI tools, and other technologies that can make the team faster.
  • Work closely with sales, operations, and student success teams to ensure smooth handoffs and consistent attribution.
  • Provide ongoing data entry and administrative support to keep records and workflows current.
  • Assist with onboarding of new sales operations tools.

Requirements

  • At least 2 years of experience in accounting, bookkeeping, sales operations, revenue operations, business operations, or a similar analytical role.
  • Strong written and verbal communication skills for both internal collaboration and external client communication.
  • Proven ability to maintain high-quality data and complete data hygiene work end to end.
  • Comfortable working with payment systems such as Stripe and PaySimple.
  • Experience handling contracts or deal-related documentation; familiarity with e-signature tools such as DocuSign or PandaDoc is an advantage.
  • Working knowledge of CRM systems, especially HubSpot, and the ability to learn new tools quickly.
