About the Role
Wildlife ACT, an endangered species conservation organization based in KwaZulu-Natal, South Africa, seeks an organized and systems-focused Reservations and CRM Coordinator to oversee the entire participant booking process and contribute to building and optimizing the CRM automation models supporting it. This remote role prioritizes efficient inbox management, pipeline oversight, and maintaining seamless system operations to achieve high booking conversion rates and excellent participant communication.
Key Responsibilities
- Manage the full sales and enquiry-to-booking pipeline actively to maximize conversion rates, employing purposeful follow-up with both warm and cold leads while effectively communicating program value.
- Coordinate all reservations tasks including handling enquiries, managing provisional bookings, organizing pre-arrival activities, and maintaining participant communications through to arrival.
- Oversee participant transportation logistics and daily operations, ensuring real-time communication with field teams on arrival days.
- Maintain and enhance CRM systems by ensuring data accuracy, configuring and optimizing workflows, automations, and pipelines using tools such as ClickUp and GHL, identifying inefficiencies, and implementing solutions to improve overall pipeline performance.
- Manage communications including segmenting Mailchimp databases, exporting website leads, managing source tracking, handling agent bookings and relationships, updating volunteer site listings, keeping marketing materials current, and preparing monthly reservation reports and email performance summaries for management.
Candidate Profile and Requirements
- A Bachelor's degree in Journalism, Tourism, Sales, Marketing, Communications, or a closely related discipline.
- 2 to 4 years of professional experience in reservations, sales coordination, or hospitality administration.
- At least 2 years in a sales or lead conversion role with a proven successful track record.
- Advanced expertise with CRM platforms, and proficiency with project management software such as ClickUp or equivalent.
- Comfortable using AI tools professionally to enhance workflow.
- Strong verbal and written communication skills characterized by a warm and professional tone across various channels.
- A sales mindset focused on effectively communicating program benefits and persisting with follow-ups to drive conversions.
- Strong organizational skills with attention to detail and the ability to manage multiple active bookings independently.
- Familiarity with Google Workspace, Fillout, and data management tools like Google Sheets.
- Proactive, collaborative, motivated individual with a genuine passion for conservation, wildlife, or tourism sectors.
- Must be a South African citizen residing in KwaZulu-Natal with a valid driver’s license.
