Position Overview
The Release of Information (ROI) Specialist I role at Vital Records Control (VRC) involves managing the processing of medical record requests efficiently and accurately, ensuring strict adherence to patient privacy laws including HIPAA. This role demands maintaining high levels of quality and productivity while providing exceptional service to healthcare clients. The Specialist regularly communicates with management to address concerns affecting performance or service.
Key Responsibilities
- Handle specific ROI request types such as Continuing Care and Disability Determination Services with potential cross-training for other request categories based on performance.
- Retrieve and process medical record requests in line with client protocols and security policies.
- Prioritize and complete daily ROI requests within stipulated turnaround times.
- Verify patient authorizations and comply with HIPAA and other legal regulations.
- Classify and log requests accurately using ROI software.
- Extract relevant portions of medical charts from electronic or physical records and apply thorough quality control to avoid PHI breaches.
- Check invoicing for accuracy and make adjustments when necessary.
- Release requested records to authorized entities; reject non-compliant requests.
- Manage physical record handling and ensure correct filing post retrieval.
- Document all request-related communications, exceptions, and relevant notes.
- Report any suspicious requests, potential breaches, delays, or technical issues promptly to supervisors.
- Respond professionally and effectively to inquiries from requestors.
- Maintain secure storage of records and ensure availability of office supplies.
- Support additional clients or request types during busy periods, adapt to changing assignments.
- Uphold confidentiality, ethics, and comply with all organizational and regulatory standards.
- Complete required trainings in a timely manner.
- Generate invoices and billing documents and keep client information current.
- Perform other duties as assigned.
Candidate Qualifications
- Minimum education: High School Diploma or GED; degree preferred.
- Prior experience in ROI processing preferred.
- Strong attention to detail and ability to manage multiple deadlines.
- Effective documentation and communication skills.
- Ability to maintain consistent productivity and quality standards.
- Familiarity with medical records handling and HIPAA regulations preferred.
- Experience using EHR/EMR systems and Microsoft Office in a Windows environment preferred.
- Good interpersonal skills for interaction with team members, clients, and requestors.
- Technical proficiency with office equipment such as printers, scanners, fax machines, microfilm readers preferred.
- Self-motivated with capability to focus on detailed tasks for long periods.
- Fluent in English; bilingual candidates advantageous.
Salary
This position offers a compensation range from $20 to $23 per hour.
Work Schedule and Location
The role follows a Monday to Friday schedule from 8:00 AM to 4:30 PM and is performed remotely.
