Role Overview
The Receptionist / Front Office Executive will serve as the first point of contact for patients and visitors, ensuring a welcoming and efficient experience at the healthcare facility. This role requires a courteous phone demeanor, vigilance in maintaining patient confidentiality, and the ability to coordinate between patients and clinical staff effectively.
Key Responsibilities
- Greet and welcome patients and visitors personally and via telephone with professionalism and a polite attitude.
- Manage incoming calls with consistent telephonic etiquette.
- Keep the reception and waiting area neat, clean, and well-organized.
- Register new patients and update existing patient records by collecting comprehensive personal and financial data.
- Facilitate smooth patient flow by informing healthcare providers upon patient arrival, monitoring any delays, and keeping patients and medical staff informed.
- Respond courteously to questions from patients, potential patients, and visitors.
- Maintain proper stock levels of medical office supplies by anticipating needs, ordering stock, and ensuring office equipment is functional.
- Safeguard patient confidentiality by securing Protected Health Information (PHI), ensuring no sensitive information is left visible and logging off systems when unattended.
- Conduct training for new employees alongside existing staff members.
- Compile and submit daily, weekly, and monthly reports to management regarding departmental and organizational statistical growth.
- Handle patient registration, billing, guidance, and coordinate interactions between patients and doctors.
- Minimize patient waiting times by optimizing front office processes.
- Collect and analyze patient feedback to improve service quality and address any issues promptly.
- Carry out any additional tasks assigned by management.
