Role Overview
The Project Coordinator will support project quoting, customer communication, order placement, documentation, and issue resolution for brand conversion projects. The role requires close coordination with internal teams, external partners, vendors, installers, and customers in a fast-moving environment.
Key Responsibilities
- Support the preparation and upkeep of project quotations while keeping them aligned with project goals and deadlines.
- Track workload, help meet project KPIs, and keep deliverables on schedule.
- Spot scope-related issues and coordinate with internal teams, installers, vendors, and customers to resolve them.
- Look for ways to improve processes and route suggestions through the proper channels.
- Keep project records accurate, especially for communications shared by project management with customers.
- Prepare quotes and place orders for brand conversion projects as needed.
- Maintain a strong working knowledge of customer and brand products so questions can be answered effectively.
- Work with team members and supervisors to resolve complex issues correctly.
- Stay current on product knowledge, procedures, and best practices as training is provided.
- Use internal systems and reporting tools to manage most project activities.
- Contribute positively to team morale and company culture.
- Handle customer support inbox activities, including phone and email requests.
- Perform other duties as assigned.
Communication Expectations
- Review survey details and site documents to define scope and create accurate quotes.
- Produce clear, concise written updates and communication.
- Deliver strong customer service by listening carefully, understanding needs, and implementing solutions.
- Respond quickly to email and phone inquiries in a high-volume environment.
- Handle sensitive questions professionally and effectively.
- Communicate clearly with clients and customers by phone and in writing.
- Escalate issues appropriately when questions or higher-level concerns arise.
Critical Thinking and Work Style
- Show the ability to take on challenges and solve problems while protecting customer relationships and meeting expectations.
- Handle practical issues in situations with limited standardization.
- Interpret instructions provided in written, verbal, diagram, or schedule form.
- Stay highly organized while balancing multiple priorities.
Qualifications
- 1 to 3 years of experience working in a business setting.
- General business knowledge, including familiarity with project management principles, practices, and techniques.
- Strong analytical and problem-solving ability.
- Excellent communication and time management skills for a fast-paced, changing environment.
- Background in customer service, construction, or branding is considered an advantage.
Education
A BS or BA degree is preferred, or equivalent experience.
Compensation and Benefits
The posted pay range is 36,000.00 to 54,000.00 per year. A comprehensive benefits package may include medical, dental, vision, 401k matching, and additional benefits.
