Production Coordinator - Expression of Interest

Overview

Kickstart Entertainment is actively building a talent pool for potential future productions. This posting serves as a call for expressions of interest rather than a direct job offer. Shortlisted candidates may be contacted based on project approval, internal needs, and evolving role requirements. This role reports to the Line Producer and liaises with Directors and Supervisors to coordinate production activities across departments, including possibly focusing on specific areas like FX or Lighting/Comp depending on production demands.

Responsibilities

• Deliver regular daily and weekly updates to the Line Producer highlighting priorities and progress aligned with the timeline.
• Monitor and communicate status updates on deliverables, quotas, and targets through FlowPT (formerly Shotgrid), ensuring data accuracy.
• Adhere to studio IT and Pipeline protocols involving tools usage, file naming standards, and asset management; promptly report technical queries or issues.
• Coordinate with partner studios across different locations and time zones to facilitate timely delivery and review of materials, assignments, and feedback.
• Assist in task delegation to artists in accordance with production schedules and confirm deadlines with Line Producer or Supervisors.
• Support artists in workload management by ensuring availability of resources and addressing creative concerns through supervisory coordination.
• Collaborate with vendors and internal supervisors to ensure precise assignments, daily feedback loops, and review processes under Producer/Director guidance.
• Document meeting minutes promptly and share with teams within 8 hours.
• Maintain comprehensive task assignments, notes, and status reports within FlowPT.
• Serve as liaison among departments to facilitate communication and proactively resolve workflow bottlenecks.
• Guide artists during kickoff phases regarding submission protocols for FlowPT and file management before Directors/Supervisors initiate formal kickoffs.
• Identify and escalate early warnings on potential project delays or delivery risks to Line Producer.
• Provide administrative and production support as needed to Producers and Directors.
• Manage production assets ensuring compliance with studio naming and quality standards.
• Prepare and distribute relevant materials to external vendors and departments as required.
• Generate and deliver production progress reports for assigned departments to the Line Producer.
• Organize meetings and review sessions, managing communications and ensuring participants are adequately prepared.
• Perform additional assigned tasks as necessary.

Requirements

• University degree or equivalent industry-focused education preferred.
• At least 2 years of relevant industry experience preferred.
• Proficient user of FlowPT (formerly Shotgrid).
• Skilled in Google Workspace and Slack platforms.
• Experience in 3D animation pipelines, with bonus consideration for familiarity across multiple production stages.
• Strong organizational and project coordination abilities, adaptable to changing priorities.
• Able to work independently and collaboratively within a team.
• Proactive problem solver with sound judgment on escalation needs.
• Excellent verbal and written communication skills along with strong interpersonal abilities.
• Ability to maintain strict confidentiality.
• Demonstrates a solid work ethic and a positive, detail-oriented approach.
• Consistently meets deadlines and performance expectations.

Preferred Qualifications

• Advanced expertise in FlowPT (formerly Shotgrid).
• Familiarity with project management software tools.
• Experience working with geographically distributed teams across multiple time zones.

Compensation and Work Arrangement

Salary ranges between $1,300 and $1,450 per week, approximating an annual total from $67,600 to $75,400. This is a full-time position operating in a hybrid model involving both in-office and remote work throughout the week.
