Overview
The Procurement Specialist will collaborate closely with the Procurement & Purchasing Manager to support various procurement processes aimed at efficient sourcing, purchasing, and supplier coordination. This position focuses on handling day-to-day procurement operations while ensuring strict adherence to policies and enhancing procurement procedures.
Primary Responsibilities
- Process purchase requests and generate purchase orders, monitoring delivery schedules.
- Update and maintain comprehensive procurement documentation.
- Assist in vendor proposal assessment and contract preparation.
- Coordinate with suppliers to guarantee timely receipt of goods and services.
- Support supplier performance evaluations and routine supplier communications to address concerns.
- Ensure all procurement activities comply with relevant policies and legal requirements.
- Track and report procurement performance metrics.
- Identify cost-saving opportunities within assigned procurement duties.
- Assist in managing budget objectives alongside Procurement & Purchasing Manager.
- Collaborate with internal departments to fulfill procurement needs.
- Contribute to cross-functional projects involving procurement.
- Carry out market research and supplier discovery to aid procurement planning.
- Utilize Oracle ERP platform to manage procurement workflows, monitor transactions, and produce necessary reports.
- Recommend enhancements for optimizing Oracle ERP usage in procurement operations.
- Maintain procurement system integrity to ensure accurate data management.
- Drive initiatives to improve operational efficiency and procurement processes.
- Prepare regular procurement activity summaries for management review.
- Perform additional tasks as assigned by supervisors.
Safeguarding
The role requires actively safeguarding and promoting the welfare of children and youth by adhering to the school's safeguarding policies and staff code of conduct. Supporting the designated safeguarding lead to protect the welfare of all students is a key responsibility.
Qualifications and Experience
- Bachelor’s degree in business, supply chain management, procurement, or a related discipline (mandatory).
- Minimum of three years of relevant procurement experience.
- Experience with vendor sourcing and operational procurement procedures.
- Familiarity with Oracle ERP systems for procurement activities.
Skills and Competencies
- Excellent organizational and time management abilities.
- Proficient communication skills in both Arabic and English, written and spoken.
- Strong understanding of procurement regulations and compliance frameworks.
- Effective problem-solving and decision-making capabilities.
- Accuracy in data entry and record maintenance related to procurement.
- Hands-on knowledge of Oracle ERP procurement modules.
- Analytical skills to manage procurement reports and data effectively.
