People Operations Specialist

Position Overview

Join Vanta’s People team as a People Operations Specialist and contribute to building the infrastructure that allows every employee to perform optimally, securely, and efficiently. This fully remote U.S. full-time role offers a salary range of $99,000 to $116,000 along with equity, comprehensive medical benefits, 401(k), and other perks.

Responsibilities

• Manage core HR systems such as HRIS, performance management, and onboarding platforms.
• Ensure the accuracy, confidentiality, and consistency of all employee data.
• Automate workflows and optimize processes by identifying repetitive tasks and implementing scalable solutions integrating various tools.
• Administer employee lifecycle events including hiring, terminations, promotions, and transfers, ensuring timely updates across HR systems and liaising with relevant stakeholders.
• Oversee U.S. visa and immigration processes such as H-1B transfers and PERM applications, collaborating with internal and external legal teams to ensure compliance.
• Maintain and update HR policies, documentation, and system configurations; act as a resource for HR system queries and troubleshooting.
• Lead compliance efforts including audits, data retrieval, and validation related to I-9 forms, security, compensation, and employment verifications.
• Provide responsive support to employees through a ticketing system, resolving questions and issues regarding HR systems and processes with clarity and care.

Qualifications and Skills

• 2-3 years of experience in People Operations within a fast-paced, high-growth environment.
• Strong enthusiasm and familiarity with HR systems and data, including experience with HRIS or similar platforms like HiBob, Workday, Ashby, or Culture Amp.
• Exceptional attention to detail and commitment to maintaining data integrity and confidentiality.
• Skills in creating scalable systems and automating repetitive HR processes using software tools and integrations.
• Ability to handle ambiguity and shifting priorities by bringing structure and clarity to challenges.
• Proficient problem-solving, operational discipline, and project management capabilities.
• Excellent communication skills, both written and verbal, with an aptitude for collaborating across different teams.
• Interest or experience in leveraging AI technologies to enhance work processes responsibly and effectively.
• Familiarity with G-Suite, Slack, Zoom, and the capacity to quickly learn new software applications.
• Must have legal authorization to work in the U.S. without requiring current or future employer sponsorship.
