Role Summary
Positioned at Enikepadu, Vijayawada, this role entails managing daily office functions and overseeing product distribution under the Director's leadership. The Office & Distribution Coordinator will ensure smooth operations by handling order processing, dispatch scheduling, payment follow-ups, and communication across customers, suppliers, and logistics providers.
Key Responsibilities
- Manage everyday office tasks and administrative functions.
- Organize product orders, dispatches, and distribution timelines.
- Liaise with transport and logistics partners to ensure punctual deliveries.
- Monitor customer payments and track outstanding invoices.
- Maintain detailed customer records including billing and payment status.
- Communicate with pharmaceutical companies regarding purchase orders, inventory availability, and product updates.
- Engage with hospitals, diagnostic centers, distributors, and dealers professionally.
- Prepare and manage quotations, invoices, purchase orders, and delivery documentation.
- Supervise inventory levels and arrange stock replenishment.
- Utilize Excel and office software to keep precise records.
- Assist the Director with daily operational and administrative duties.
- Respond to customer inquiries and solve operational challenges proactively.
- Compile and submit daily, weekly, and monthly operational reports.
Candidate Profile
- Bachelor's degree holders in B.Com, BBA, B.Pharmacy, or any graduation are eligible.
- Experience ranging 1 to 3 years in office management, healthcare or pharmaceutical distribution, or operations is preferred; however, well-qualified freshers with strong communication and organizational skills are welcome.
- Fluent communication skills in English and Telugu are essential; knowledge of Hindi is a plus.
- Proficiency in Microsoft Excel, Word, and email correspondence is required.
- Strong organizational, multitasking, and basic accounting capabilities with payment follow-up experience.
- Ability to engage effectively with customers, suppliers, transporters, and company associates in a professional manner.
- Problem-solving aptitude, independent work ethic, and confidentiality maintenance are vital.
Preferred Experience
Prior exposure to medical device companies, pharmaceuticals, healthcare distribution firms, CFAs, or hospital supply chains will be advantageous.
