About Women’s Lunch Place
Women’s Lunch Place is a nonprofit organization with 501(c)(3) status that works to address hunger, homelessness, and poverty through integrated, creative services that foster hope, healing, and opportunity. Each year, the organization serves more than 2,300 women, meeting them where they are and supporting their path toward stability and self-sufficiency through individualized case management, housing and stabilization support, healthcare, a day shelter community, and healthy meals. Role Overview
Women’s Lunch Place is hiring a full-time HR Coordinator to support the day-to-day work of the Human Resources team. This opportunity is well suited to an early-career HR professional who is organized, service-oriented, and interested in building experience in a mission-driven nonprofit setting. The role is central to recruiting, onboarding, HR administration, payroll coordination, compliance support, and employee engagement, helping create a smooth and consistent employee experience across the organization.
The HR Coordinator will work closely with the Senior Director of HR and help maintain continuity, efficiency, and a positive experience for staff across departments. Because the role involves handling sensitive employee, organizational, and leadership information, the candidate must consistently demonstrate discretion, professionalism, sound judgment, and integrity. The position also provides exposure to executive-level operations and cross-functional collaboration in a dynamic nonprofit environment.

Exempt status: Exempt
Position status: Full-time, 40 hours per week; occasional weeknights and Saturdays may be required
Pay rate: $60,000 to $63,000 annually
Key Responsibilities
HR Administration and Compliance
- Keep HR checklists and workflow tools updated, and make sure recurring HR tasks are completed on time and in line with the organization’s HR manual and procedures.
- Serve as a reliable first point of contact for routine HR questions, escalating issues to the right person when needed.
- Maintain secure, accurate employee records, personnel files, and HRIS data.
- Help manage benefits administration, prepare for open enrollment, and respond to employee questions about benefits and HR policies.
- Support compliance with federal, state, and local employment laws and internal policies, including strict adherence to I-9 and E-Verify requirements.
Recruitment and Onboarding
- Coordinate the end-to-end hiring process, including posting roles, reviewing resumes, arranging interviews, and communicating with applicants.
- Assist with onboarding and offboarding by preparing new hire documents, organizing orientations, managing separation and termination checklists, coordinating exit steps and interviews, and ensuring account access, deactivation, and paperwork are completed on schedule.
Payroll and HR Systems
- Support biweekly payroll processing in Paylocity by checking timecards, entering changes, and resolving discrepancies.
- Generate regular HR and payroll reports for audits, budgeting, and leadership updates.
Employee Relations and Internal Communications
- Support employee relations, performance management, and disciplinary processes.
- Help prepare and share internal communications such as newsletters, organization-wide updates, and benefits announcements.
- Track licenses, training obligations, certifications, and renewal dates to help maintain compliance and support professional development.
- Contribute to employee engagement and culture-building initiatives.
- Help run the Rewards and Recognition program by ordering gifts, coordinating celebrations, preparing recognition materials or remarks, and supporting appreciation activities.
- Assist with scheduling, tracking, and organizing training sessions and professional development opportunities.
- Support the annual employee engagement survey and the twice-yearly performance review cycle by tracking completion, maintaining records, and coordinating related communications.
Projects and Continuous Improvement
- Contribute to special and ongoing HR projects such as policy revisions, process improvements, audits, and HR analytics.
- Provide general administrative and operational support to keep the HR function running efficiently and consistently.
- Take on additional special assignments from the Senior Director of HR.
Additional Responsibilities
- Complete any other duties assigned by the Senior Director of HR.
- Adapt to changing responsibilities in a flexible and dynamic work setting.
Qualifications
- A bachelor’s degree in Human Resources, Business Administration, or a similar field is preferred.
- One to three years of experience in HR, administration, or people operations is preferred.
- Working knowledge of federal and state employment laws, including FMLA, ADA, EEO, and FLSA.
- Spanish fluency is preferred.
- Strong organizational skills and excellent attention to detail.
- Clear written and verbal communication skills.
- Ability to manage confidential information with professionalism and discretion.
- Comfort using Microsoft Office tools such as Word, Excel, and PowerPoint; experience with HRIS and payroll systems is preferred, especially Paylocity.
- Ability to work independently and take ownership of assigned projects and workflows.
- Nonprofit experience is helpful but not required.
Additional Information
Physical requirements: The job is largely desk-based, but may occasionally require standing, walking, and using hands to operate controls. The role may involve lifting or moving items up to 10 pounds. Close and distance vision, along with the ability to hear conversations in office and group settings, are needed. Attendance at community meetings is also required.
Work environment: The administrative office is generally quiet, while the shelter environment is usually loud. The role may involve exposure to occasional disruptive behavior in the shelter and/or community dining room.
