Position Overview
We seek a dedicated HR Assistant to handle daily operational tasks within the Human Resources department. This role involves managing administrative duties, HR information systems (HRIS), maintaining employee records, generating reports, administering benefits, and offering employee support. The incumbent will be crucial in crafting a positive work atmosphere by managing confidential HR data accurately while bolstering HR programs, policies, and services aimed at fostering a high-performance and employee-centric environment.
Key Responsibilities
- Maintain and update employee records and HRIS data to ensure accuracy and timely processing.
- Assist with testing HRIS systems and support initiatives to maintain HR data integrity.
- Organize and upkeep employee files along with HR filing systems.
- Generate and maintain reports as needed to support HR activities and management inquiries.
- Handle employee and manager questions concerning leave management, benefits, HR policies, and employee status.
- Provide administrative assistance including preparation of correspondence, employment letters, onboarding materials, benefit packages, memos, and confidential documents.
- Manage HR and Payroll Helpdesk communications through email, phone, and in person.
- Administer employee benefit programs and keep current with plan details.
- Coordinate and facilitate new employee orientation processes.
- Support various HR projects, research, and special tasks as assigned.
- Assist in implementing health, safety, and wellness initiatives.
- Operate independently while proactively seeking information, posing questions, and resolving challenges using available resources.
Qualifications
- Diploma from college in Human Resources, Business Management with an HR focus, or a related field.
- Demonstrated strong administrative and organizational abilities.
- Intermediate skills in Microsoft Office suite: Word, Excel, and PowerPoint.
- Experience working with HRIS systems; familiarity with SAP is a plus.
- High accuracy and attention to detail in data entry, document management, and administrative operations.
- Excellent written and oral communication skills.
- Ability to multitask effectively, prioritize workload, and manage time efficiently.
- Maintain confidentiality and make prudent decisions when handling sensitive information.
- Competent in gathering, analyzing, and prioritizing information.
- Bilingual capabilities are considered advantageous.
Additional Information
- This position emphasizes administrative responsibilities, including document handling, data input, employee records, and HR system management.
- Ideal candidates are resourceful, possess critical thinking skills, and can work autonomously while collaborating with internal teams.
- The role may be performed remotely; however, individuals residing within 50 to 60 km of the Ottawa office may need to attend onsite one to two days weekly.
- This is a temporary role expected to last less than nine months, and employees in such roles are not eligible for company benefits or Group Retirement Savings Plan participation.
Compensation and Openings
The salary range for this role is $52,000 to $55,000 annually. There is one position available.
