About the Role
Join JLL, a leader in professional services and investment management in real estate, dedicated to helping global organizations achieve their real estate ambitions. As a Facilities Coordinator reporting directly to the Facilities Manager, you will play an essential role in ensuring the smooth operation of facilities management services within the building.
Key Responsibilities
- Perform weekly walkthroughs of the building to identify and document maintenance concerns.
- Collaborate with the Facilities Manager and Moves and Changes team to manage internal space needs and coordinate team relocations.
- Track inventory levels of stationery and consumable supplies used by employees and coordinate procurement with suppliers.
- Oversee internal office moves alongside the Facilities Manager and maintain accurate floor plans.
- Support event setup, both in-house and external, as needed.
- Coordinate with the Building Operations team to identify and report faulty health and safety equipment and arrange repairs.
- Assist the Assistant Facilities Manager with vendor relations and support soft service functions.
- Manage fire wardens and first aiders, including scheduling initial and refresher training sessions.
- Maintain and update operational manuals, handbooks, and guidance documents.
- Provide coverage for receptionist duties when required.
- Understand and assist with meeting and event support in collaboration with the Meetings and Events Specialist.
- Handle daily mailroom operations including deliveries and inquiries, manage stock for mail supplies, and place procurement orders.
- Foster awareness of courier procedures, suppliers, and maintain relationships with essential external contacts.
- Perform other duties as assigned.
Candidate Profile
- Experience working in a prestigious corporate setting.
- Reception or hospitality experience is advantageous.
- Proactive, hands-on approach with willingness to support team members.
- Familiarity with facilities management processes preferred.
- Proficient in IT including Microsoft Outlook, Excel, and Word.
- Professional demeanor that is friendly and welcoming.
- Strong attention to detail with the ability to take initiative.
- Excellent communication skills and effective organizational capabilities.
- Ability to manage multiple priorities and a busy workload.
- Essential background in customer service.
