Role overview
AFIC is seeking an accomplished Executive Assistant and Office Co-ordinator to support the CEO and CFO while keeping the office and administration functions running smoothly. The role sits within a highly regarded listed investment business and offers exposure to executive support, office coordination and aspects of corporate governance.
This position is based at 101 Collins Street in Melbourne’s CBD and suits someone who enjoys variety, works well in a small team, and is motivated by growth, learning and continuous improvement.

What the role involves
- Providing executive support to the CEO, including managing the diary, arranging meetings and travel, and acting as a trusted gatekeeper.
- Assisting the CFO with light diary management support.
- Supporting a close-knit investment team and coordinating office operations such as boardroom and meeting room preparation, refreshments and video conferencing.
- Helping during busy board-reporting periods and covering duties when colleagues are on leave.
- Managing the internal leave register and overseeing HR-related documentation.
- Supporting general office administration and upkeep.
- Providing back-up support for governance tasks, including preparing board papers in Diligent and assisting with board and committee meetings.
What we are looking for
- Strong prior experience as an Executive Assistant or in a senior administrative role.
- Excellent diary and inbox management skills, with sound judgement in prioritising matters and filtering access appropriately.
- The ability to handle multiple demands calmly and meet deadlines reliably.
- Clear, confident communication and a polished professional presence when dealing with senior stakeholders, including company directors.
- A proactive approach to identifying issues and putting forward practical solutions.
- Comfort with modern ways of working, including technology, automation and AI.
- A flexible, collaborative attitude and a genuine willingness to learn as the role develops.
- The ability to manage sensitive information with professionalism, discretion and good judgement.
- An interest in corporate governance would be helpful, though it is not mandatory.
