About the Role
This is an 18-month fixed-term, full-time position based in London, UK, offering hybrid working arrangements. The Executive Assistant will provide crucial support to the ISSB Chair, collaborating closely with the Chair's Counsellor and engaging effectively with colleagues spread across multiple international locations within the IFRS Foundation and ISSB. The role demands professionalism, adaptability, and cultural awareness to thrive in a global organisation focused on sustainability standards.
Key Responsibilities
- Manage an extensive and proactive diary, coordinating across multiple time zones and closely liaising with the Chair’s Counsellor to maximize the Chair’s time and support smooth daily engagements.
- Ensure punctuality for meetings, events, and travel commitments based on situational needs.
- Organize complex domestic and international travel arrangements, including transport, lodging, visa procurement, flight check-ins, and real-time itinerary adjustments, ensuring adherence to Foundation travel policies.
- Coordinate logistics for virtual and face-to-face meetings, confirming dial-in details, reserving meeting rooms, and making restaurant bookings when necessary.
- Provide proactive IT support including setting up virtual meetings and troubleshooting, in collaboration with the IT helpdesk where needed.
- Welcome and assist external visitors when applicable.
- Manage monthly professional expense processing for the ISSB Chair and pre-approval of travel and expense claims for the Chair’s direct reports.
- Handle administrative duties such as managing correspondence, drafting replies, securing approvals for documents, record-keeping, note-taking, updating contacts, and handling business cards.
- Engage effectively with internal staff at all levels and external stakeholders including government officials, regulators, accounting professionals, and representatives from other international bodies.
Required Skills and Qualifications
- Significant proven experience supporting senior executives (Executive Committee level or above) in an international context, handling complex travel and meeting arrangements across time zones.
- Exceptional reliability, planning, organizational, and administrative skills, with the capacity for consistent follow-up.
- High integrity and discretion in managing confidential or sensitive information.
- Strong ability to collaborate effectively with colleagues and stakeholders worldwide, both in-person and remotely.
- Fluent English communication skills, both written and spoken; French language ability is advantageous.
- Resourceful and proactive with flexibility to juggle multiple competing priorities while maintaining composure and meticulous attention to detail.
- Proficiency in MS Office suite (Outlook, Word, Excel, PowerPoint) and Adobe Reader is mandatory; familiarity with iOS is beneficial.
