The CEO operates in a dynamic, fast-paced environment managing extensive travel, multi-time-zone coordination, client interactions, and cross-functional leadership within a team of nearly 200 people. The Executive Assistant role is crucial for optimizing and protecting the CEO's time by ensuring commitments are monitored, board materials are prepared punctually, and meeting action items are completed effectively.

Key Responsibilities

  • Oversee the CEO’s complex calendar across multiple time zones including scheduling, mitigating conflicts, preparing for meetings, and coordinating with stakeholders both inside and outside the company.
  • Organize all aspects of travel from Austin, including flights, lodging, transportation, itineraries, and handling sudden changes efficiently.
  • Plan and coordinate company events such as team gatherings and client dinners, ensuring smooth logistical execution aligned with Red Oak’s branding and client experience standards.
  • Monitor meeting action items and commitments made by the CEO, following through to closure and ensuring accountability throughout various departments.
  • Develop and maintain board-level and executive materials, collaborate with CEO and Finance for data collection and document revisions, and manage logistics related to board meetings and executive correspondence.
  • Analyze data and metrics discussed in meetings by investigating company platforms (Monday, HubSpot, Salesforce, Gong, Rillet), delivering accurate and timely insights.
  • Perform financial analyses and prepare data reports aiding the CEO’s strategic planning and executive discussions.
  • Utilize and expand AI tools daily, primarily Claude, to automate repetitive reports, highlight insights, identify calendar and follow-up trends, and streamline data access through AI-enhanced workflows.
  • Represent the CEO’s authority in meetings when absent, communicating decisions and expectations clearly with discretion.
  • Provide personal administrative assistance to the CEO, including personal scheduling, travel arrangements, and errands, with utmost confidentiality.

Required Qualifications and Experience

  • Minimum of 3 years’ experience supporting senior-level executives, preferably within high-growth SaaS or private equity environments.
  • Strong financial and data literacy to independently produce precise analyses and polished board materials.
  • Proficiency with CRM and operational platforms such as HubSpot, Salesforce, Monday.com, and Gong, with ability to adapt quickly to new financial systems.
  • Experienced user of generative AI, particularly Claude, integrated into daily workflows for drafting, analysis, and automation; practical proficiency will be evaluated.
  • Exemplary discretion handling confidential and market-sensitive information.
  • Excellent organizational skills and strong written communication, comfortable acting as the CEO’s representative internally and externally.
  • Preferred experience includes assembling board materials and supporting a founder or CEO during periods of accelerated growth.

Employee Benefits

  • Equity Appreciation Rights offering a stake in the company’s growth.
  • Comprehensive health benefits including medical, dental, and vision coverage.
  • 401(k) plan featuring a 3% employer matching contribution.
  • 20 paid vacation days annually, plus your birthday off and paid sick leave.
  • Enhanced family leave policies.
  • Life insurance coverage.
