The Canadian Association of Women Centre Societies works to strengthen women’s equity across Canada through partnership-driven, community-centered initiatives. Role Overview
This contract position is based on-site in British Columbia and provides senior leaders with advanced administrative support. The Executive Assistant helps keep leadership operations running smoothly by handling scheduling, communication, travel coordination, expense documentation, and records management. The role also supports logistics for events and initiatives such as podcasts, symposiums, and speaking engagements, while interacting with partners, vendors, and other stakeholders as needed.
Key Duties
- Manage executive calendars and arrange meetings, appointments, and related logistics.
- Coordinate travel plans and prepare expense reports and similar documentation.
- Draft, edit, and route correspondence and other business documents.
- Maintain organized filing systems, records, and administrative tracking tools.
- Support planning and coordination for events, podcasts, symposiums, and speaking engagements.
- Communicate professionally with partners, vendors, and stakeholders.
- Handle sensitive information carefully and maintain confidentiality at all times.
Qualifications
- Proven experience supporting executives, including calendar coordination, meeting setup, and executive communication.
- Solid general administrative experience with office processes, documentation, and organizational systems.
- Ability to prepare and monitor expense reports and other basic budget-related records.
- Strong written and verbal communication skills for professional interaction with varied audiences.
- Excellent time management, prioritization, and organizational ability in a busy environment.
- Comfort using common productivity tools such as word processors, spreadsheets, presentation software, shared calendars, and collaboration platforms.
- Discretion and good judgment when dealing with confidential or sensitive matters.
- Experience in non-profit, advocacy, or community-oriented settings is considered an advantage.
- Post-secondary training or equivalent hands-on experience in administration, business, communications, or a related area is preferred.
