Responsibilities

  • Manage the Executive Director’s calendar end to end, making sound decisions when multiple priorities compete.
  • Coordinate schedules and communications across several time zones and studio sites.
  • Stay ahead of upcoming needs by planning meetings, appointments, and key deadlines in advance.
  • Serve as a reliable point of access and support for the Executive Director.
  • Help different teams stay connected, aligned, and informed across projects and locations.
  • Receive and host clients, ensuring the experience is professional, warm, and well organised.
  • Keep the office running smoothly on a day-to-day basis.
  • Prepare meetings to a high standard, including agendas, packs, notes, and follow-up actions.
  • Monitor action points and make sure stakeholders follow through consistently.
  • Assist with the organisation and delivery of client meetings, team events, and industry functions.
  • Handle important inboxes carefully, with good judgement and sensitivity to tone.
  • Travel occasionally between London, Manchester, and Leeds studio locations.
