About the Role
The Events Assistant position at DCX PH Inc. is a dynamic and diverse role supporting the Events Marketing Manager and the broader marketing team. This role is crucial in facilitating the seamless execution of webinars, trade exhibitions, email marketing campaigns, and daily marketing operations. The assistant will collaborate closely with colleagues based in the US, Europe, and the Philippines to ensure that events, campaigns, systems, and communication channels operate smoothly.
Key Responsibilities
- Coordinate event logistics including management of registrations, speaker coordination, supporting live webinar sessions, and post-event reporting and lead tracking.
- Manage trade show preparations such as booth orders, shipping logistics, inventory management, and apparel orders.
- Arrange travel, accommodations, and event registrations for internal personnel.
- Track shipments, manage vendor communications, and support expense documentation and tracking.
- Conduct pre-event research including reviewing attendee lists, prospect profiles, and competitor analysis.
- Support post-event follow-up activities including email campaigns and outreach efforts.
- Create and manage HubSpot contact lists; assist with CRM cleanup, data validation, website form testing, and minor website updates.
- Maintain updated scorecards on a weekly basis.
- Help with design support including creating and reviewing webinar presentation decks to ensure brand and design consistency.
- Perform administrative duties such as scheduling meetings, managing calendars, note-taking, tracking action items, and maintaining project plans and Asana boards.
- Assist on various ad hoc projects spanning marketing, events, sales, and leadership teams.
Required Skills and Competencies
- Proficient event logistics and coordination skills with the ability to multitask and maintain attention to detail.
- Excellent time management skills capable of handling shifting priorities in a fast-paced environment.
- Strong sense of accountability with thorough execution throughout the entire event cycle.
- Ability to collaborate effectively across diverse and international teams.
- Adaptability to handle both reactive and proactive tasks.
Qualifications
- Bachelor’s degree or equivalent in a creative or management-related field.
- 2-3 years of experience supporting both virtual and live events.
- Excellent communication skills, both written and verbal.
- High attention to detail and outstanding organizational abilities.
- Experience with HubSpot, Asana, and Microsoft Teams preferred.
Working Conditions and Benefits
- Industry: Outsourcing
- Work schedule from 8:00 AM to 5:00 PM CST, Monday through Friday.
- Salary offered is PHP 50,000 per month.
