Job purpose

Join the Development Team as a document control specialist responsible for keeping project records organized, accurate, and accessible. This role supports the handling of both administrative and technical documentation so that all design and project files follow company procedures, quality expectations, and project-specific requirements.

Key responsibilities

  • Accept, register, record, and monitor incoming and outgoing project documentation.
  • Make sure the most recent approved versions of drawings and documents are always available and that records stay current.
  • Take ownership of design drawings, specifications, calculations, material submissions, technical reports, contracts, and project communications.
  • Load, structure, and maintain digital files in document control platforms such as SharePoint or comparable systems.
  • Send approved drawings, specifications, and technical files to internal teams, consultants, contractors, and subcontractors.
  • Track review and approval processes, and follow up on documents that are still pending or overdue.
  • Keep document logs, revision records, transmittals, and distribution registers updated.
  • Liaise with architects, engineers, designers, project managers, consultants, and contractors on document status and approvals.
  • Ensure all documentation activities comply with company control procedures and project requirements.
  • Prepare documents and share status updates whenever needed.

Requirements

  • A bachelor’s degree in business administration, document management, information management, or a similar discipline.
  • A professional certification in document control or records management is an advantage.
  • Strong working knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook, along with document management systems.
  • At least 3 to 5 years of experience as a document controller, ideally in construction, engineering, infrastructure, real estate, or other project-driven settings.
  • Hands-on experience handling technical documents, drawings, contracts, and project correspondence.
  • Experience coordinating with consultants, contractors, and cross-functional project teams.
  • Familiarity with document management platforms and document control workflows.
