DMS Super User

Role overview

Our client is a well-established EABL distributor operating from Kitale, Trans Nzoia County. The business focuses on regional product distribution, stronger sales outcomes, stock accuracy, and the smart use of technology to improve performance.

This position is for a highly structured and detail-oriented DMS Super User who will manage the Distributor Management System, support sales operations, keep an eye on stock and purchasing plans, and prepare reliable reports for leadership. The role is central to maintaining clean data, smooth operations, and compliance with EABL expectations.

Key responsibilities

• Oversee day-to-day administration and effective use of the Distributor Management System (DMS).
• Drive full DMS adoption and usage by all Van Sales Representatives (VSMs).
• Prepare and circulate daily, weekly, and monthly performance reports from the DMS.
• Track sales performance against targets and turn findings into practical action points.
• Coordinate and monitor purchase plans so they match business needs.
• Keep stock records accurate and follow stock movement within the DMS.
• Compile Daily Route Settlement and Cash Collection reports.
• Ensure every sales transaction is recorded correctly and completed in the system.
• Review route compliance and structured call adherence through system-generated reports.
• Identify, investigate, and fix DMS errors, mismatches, and data quality issues.
• Support sales analysis through route, customer, and SKU-level reporting.
• Train and assist DMS users to strengthen compliance and improve efficiency.
• Work with EABL representatives and other stakeholders on DMS-related matters.
• Make sure all operational and management reports are accurate and delivered on time.
• Follow company procedures, policies, and Health & Safety requirements.

Requirements

• Diploma or degree in Business Administration, Information Technology, Supply Chain Management, Sales & Marketing, or a related discipline.
• At least 2 years of experience in FMCG distribution, sales operations, inventory control, or DMS administration.
• Prior exposure to Distributor Management Systems will be an advantage.
• Strong ability to analyze data, prepare reports, and solve problems.
• Advanced skills in Microsoft Excel and other Microsoft Office tools.
• Good communication and interpersonal skills.
• Very high accuracy and attention to detail.
• Ability to handle several tasks at once and perform well under pressure.
• Strong planning, organization, and time management abilities.
• Self-motivated, proactive, and able to work with limited supervision.
• Sound understanding of FMCG sales and distribution processes is preferred.
• Professional conduct, integrity, and accountability are essential.
