Role Overview

The Contract Administrator plays a critical role within the project management team of SolAmerica Energy, acting as a key representative for the Independent Power Producer. This position involves managing the entire contract lifecycle associated with solar construction projects. It requires detailed-oriented management of complex financing contracts including tax equity deals, compliance with regulatory standards such as prevailing wage and domestic content requirements, and coordination with multiple stakeholders including contractors, landowners, and utility partners.

Primary Responsibilities

  • Managing contracts by preparing notification lists, sending and tracking all required notices.
  • Monitoring monthly and routine contractor submittals such as project reports and schedules.
  • Maintaining milestone and closeout documentation and submittals.
  • Handling Builders Risk Insurance policies and all required bonds (performance, payment, driveway bonds, etc.).
  • Overseeing land lease agreements, interconnection agreements, and their contractual stipulations.
  • Tracking insurance expiration dates for owners and contractors.
  • Monitoring permit requirements and expirations including Conditional Use and Building Permits.
  • Keeping track of environmental site assessment (ESA) Phase 1 expiration dates.
  • Preparing purchase orders, reviewing vendor and subcontractor invoices, validating accounting codes, and ensuring all proper documentation and lien waivers are in place before payment release.
  • Coordinating invoice verification against purchase orders or pay applications and confirming receipt of equipment or services through inspection reports.
  • Submitting accounts payable items for approval through designated software while maintaining communication with vendors and contractors regarding project payments.
  • Supporting finance functions by assisting in preparation, submission, and monitoring of construction loan and tax equity closing and monthly draw requirements as well as project status reports.
  • Managing compliance by tracking the project compliance matrix related to prevailing wage, apprenticeship, domestic content, and other regulatory obligations.
  • Ensuring submission of wage determinations and managing project documentation, including revision control using the PX Platform.

Qualifications and Experience

  • Five or more years of direct experience in roles within general contracting, EPC firms, or Independent Power Producers, preferably focused on commercial or industrial solar or battery storage construction.
  • Proven track record of delivering successful renewable energy project results.
  • Solid understanding of the solar industry and associated regulatory requirements.
