Claims Executive - Pharmaceutical Inventory Management

Overview

We are seeking a meticulous Claims Executive to oversee vendor claims associated with expired and nearly expired pharmaceutical and related inventory. The ideal applicant will have expertise in processing claims, liaising with suppliers, issuing debit and credit notes, and maintaining comprehensive records of all claims. Preference will be given to those with experience in Pharmaceutical, FMCG, Medical Distribution, or Retail Distribution sectors.

Key Responsibilities

• Track items nearing expiry (commonly within 3 to 6 months) using ERP or related systems.
• Identify the supplier or vendor responsible for each claim.
• Prepare and submit claims for expired and close-to-expiry products to vendors.
• Issue debit notes to vendors as per corporate guidelines.
• Engage in consistent follow-up to secure credit notes from vendors within agreed timeframes.
• Authenticate and verify documentation to ensure proper claim settlement.
• Keep detailed documentation of all claims and correspondence with vendors.
• Collaborate with warehouse, inventory, procurement, and commercial departments for claim verification.
• Reconcile debit and credit notes alongside outstanding claims.
• Produce daily, weekly, and monthly management information system (MIS) reports utilizing Microsoft Excel.
• Ensure accurate, timely processing of claims adhering to organizational protocols.

Skills and Qualifications

• Prior experience in vendor claim management.
• Familiarity with debit and credit note procedures.
• Understanding of expired and near-expiry stock management.
• Proficiency with ERP platforms such as SAP, Oracle, Marg ERP, Tally ERP, or equivalents.
• Advanced Microsoft Excel capabilities including VLOOKUP/XLOOKUP, Pivot Tables, HLOOKUP, IF formulas, data filtering, sorting, and basic report generation.
• Strong analytical skills and attention to detail for reconciliation tasks.
• Effective communication skills with persistence in following up vendors.

Preferred Experience

• Between 1 and 4 years working in pharmaceutical firms, FMCG companies, medical distribution, healthcare distribution, retail pharmacy chains, or departments involving commercial, claims, inventory, or purchasing roles.
