Role Overview
This Executive Assistant position directly supports the Chief Operations Officer (COO) and plays a vital role at the core of CDC’s dynamic and fast-paced operations team. Beyond traditional administrative duties, this role involves acting as a strategic partner, participating in decision-making processes, and fostering operational excellence across a nationwide team. Responsibilities include project coordination, event and travel support, leadership reporting, and enhancing team effectiveness. The role is split between Eastern Creek (four days) and Sydney CBD (one day) working onsite and requires a proactive, detail-oriented individual who is eager to learn about the data centre domain and grow with the organisation.
Key Responsibilities
- Provide comprehensive administrative and executive assistance to the COO, including managing calendars, coordinating meetings, arranging travel, and handling expense reports.
- Prepare and coordinate critical board and operational reports, leadership communications, and town hall presentation materials with precision and attention to detail.
- Manage meeting schedules, develop agendas, take minutes, monitor action items, and ensure timely follow-ups within the Operations division.
- Serve as a central coordination point for the Operations team, maintaining clear priorities, communications, and organised workflows.
- Support office administration, team coordination, event planning, site activities, and employee engagement initiatives across key sites.
- Organise travel logistics and provide general support for the COO and Operations personnel as required.
- Gather and consolidate information to deliver briefing materials for leadership meetings and business updates.
- Collaborate with stakeholders to enhance reporting accuracy, communication, coordination, and overall team effectiveness.
- Identify process improvement opportunities to reduce administrative overhead and implement efficient work practices.
Candidate Profile
- Demonstrated experience in executive assistance, business support, operations coordination, or office management roles.
- Proven ability to support senior executives by balancing competing priorities, maintaining confidentiality, and working effectively in a fast-paced setting.
- Exceptional communication skills, capable of building strong relationships with leadership, technical, and site-based teams.
- Highly trustworthy and confident in coordinating diverse groups across the organisation.
- Meticulous attention to detail with strong competency in preparing reports, presentations, and other leadership materials.
- Proficient in Microsoft Office suite, especially Outlook, Word, Excel, and PowerPoint.
- Forward-thinking and proactive mindset capable of anticipating needs and planning ahead effectively.
- Comfortable managing structured, technical, or data-centric information and interested in learning about data centre operations.
- Positive, adaptable, team-oriented, and willing to assist broadly as the role evolves.
- Keen to develop skills and contribute to broader business and operational support functions over time.
- Must be an Australian citizen eligible for NV1 Security Clearance.

The position requires working primarily onsite, with four days at Eastern Creek and one day at Sydney CBD.
