Role Overview

We are looking for a Billing Specialist to develop and automate n8n's billing operations aligned with our automation-first philosophy. This position involves managing billing and subscription processes, collections, customer and account administration, and deal desk assistance across our entities. This role emphasizes optimizing workflows through automation and AI, moving away from routine manual billing tasks.

Key Responsibilities

• Convert signed contracts into accurate subscriptions and manage amendments such as proration, renewals, and terminations within the billing system.
• Generate and issue invoices punctually and precisely for recurring and one-time charges across all entities.
• Ensure data accuracy by verifying contracts against CRM and billing information, resolving discrepancies proactively to support smooth month-end closings.
• Collaborate with Finance and Accounting teams to confirm deal terms conform to revenue recognition and booking policies prior to invoicing.
• Manage collections workflows including dunning procedures, customer follow-ups, and escalation of overdue accounts to legal or collection agencies.
• Engage with customers to negotiate payment plans while safeguarding cash flow and maintaining positive relationships.
• Record and reconcile customer payments to invoices, assist in resolving unapplied cash and bad debt issues alongside Accounting.
• Serve as the primary contact for invoice and subscription inquiries from customers and internal teams, escalating when necessary.
• Administer supplier onboarding and maintenance in customers' procurement systems, including updating banking, tax, and compliance information.
• Conduct operational indirect tax tasks such as VAT ID collection, sales tax monitoring, exemption handling, and tax certificate procurement.
• Provide billing-related support during deal structuring, clarifying payment terms and invoicing mechanics in coordination with the Deal Desk.

Qualifications and Skills

• Up to 5 years' experience in invoicing, accounts receivable, and collections within a B2B SaaS or subscription-based business, with a willingness to take full ownership.
• Strong understanding of subscription billing models, including tiered and usage-based billing, contract amendments, proration, and renewals.
• Confident in direct customer communication concerning invoices, payments, subscriptions, and collection calls.
• High attention to detail with an emphasis on delivering audit-compliant, accurate billing documentation.
• Advanced proficiency in spreadsheets and ability to reconcile data across CRM, billing, and finance systems.
• Proactive use of AI and automation tools in daily work, with recent practical examples.
• Preferably experienced with billing and finance software such as Stripe, Chargebee, Salesforce, Netsuite, SAP, or similar platforms.
• Familiarity with vendor portals like Coupa or SAP Ariba and indirect tax operations including VAT and sales tax management.
• Experience working in fast-growing tech startups, contributing to building scalable financial processes.
• Interest and curiosity about n8n's product, ideally having created a workflow using the platform.
