Role Overview
The Bid Manager will take charge of managing the entire tender and proposal process specifically for Eaton's Power Distribution and Power Quality solutions, focusing heavily on data center Power Transfer Unit (PTU) projects in East Asia. This role requires leading coordination among diverse teams including Sales, Field Application Engineers, Product Management, Finance, Supply Chain, Procurement, and external partners to create bids that are commercially competitive and technically sound, ensuring punctual submission of comprehensive, quality proposal packages.
Key Responsibilities
- Manage full bid lifecycle starting from customer inquiry through to final tender submission.
- Create and oversee bid schedules to guarantee all deliverables meet customer deadlines.
- Organize bid kickoff meetings and assign clear roles and responsibilities across involved parties.
- Monitor bid progress, identify any risks, and proactively address obstacles affecting timelines.
- Ensure all bid submissions comply with customer tender requirements, technical specs, commercial terms, and internal governance.
- Collaborate closely with internal teams and third-party vendors to address all technical and contractual needs.
- Aggregate cost estimates from internal and external sources into detailed bid costing models, verifying accuracy and completeness.
- Participate in value engineering and cost-saving initiatives to boost bid competitiveness.
- Guarantee pricing aligns with approval processes.
- Assemble final commercial and technical proposals including pricing schedules, commercial proposals, delivery timelines, technical details, compliance matrices, clarifications, and certifications.
- Perform final quality checks ensuring proposals meet customer standards prior to submission.
- Maintain and enhance bid documentation, templates, and proposal record systems.
- Document lessons learned from past bids to optimize future tender performance.
- Develop standardized proposal tools and templates wherever relevant.
- Track metrics such as win rates, proposal quality, and submission cycles to assess and improve bid effectiveness.
Candidate Qualifications
- Bachelor's degree in Electrical Engineering, Mechanical Engineering, Project Management, or related fields.
- At least 8 years’ experience in bid or proposal management, tendering, application engineering, or project management within the electrical or power distribution sector.
- Familiarity with Medium Voltage (MV) and Low Voltage (LV) power distribution equipment and integrated electrical systems.
- Understanding of IEC and IEEE standards related to electrical power products including switchgear, transformers, busways, control and protection devices, UPS systems, batteries, and cooling equipment.
- Strong expertise in interpreting tender documentation and technical specifications, including single-line and electrical wiring diagrams.
- Experienced in cost estimation, quote management, and preparing commercial proposals.
- Knowledgeable about EPC, contractor, consultant, and end-user environments in tendering.
- Excellent communication skills in both verbal and written English.
- Detail-focused with strong organizational skills to handle multiple priorities and meet deadlines accurately.
- Proficient in Microsoft Office Suite, capable of data analysis and troubleshooting routine issues.
- Excellent stakeholder engagement and influencing capabilities, able to lead without direct authority.
- Self-driven, proactive, positive attitude, and ability to perform well under pressure.
