The Associate Director, Project Management Office is a senior PMO leadership role responsible for improving project delivery, strengthening operational performance, and developing project management talent. The position oversees project portfolios, forecasting, resource planning, and client-facing coordination, while working closely with Operations, Business Development, and Finance to help achieve business goals and deliver strong client results. It also plays an important part in expanding PMO capabilities, preparing future leaders, and enabling the organization’s growth and scalability.
Key responsibilities
This role focuses on aligning project goals, managing project resources, and protecting customer experience and timeline accuracy. It includes representing project management in important client meetings, supporting governance discussions, and helping prepare client presentations.
The position also works with business development on project scope preparation and proposals, supports scheduling and planning teams in maintaining pipeline and backlog data for the S&OP process, and helps ensure forecasts are accurate in coordination with Finance. In addition, it requires communicating project issues and status updates to operations leadership and business development, removing obstacles that affect delivery, and building tracking tools such as dashboards and KPIs to improve visibility, governance, and risk management.
Other duties include leading the Project Services department through functional managers and strong individual contributors, and ensuring safety and compliance requirements are followed.
Leadership duties
The Associate Director will coach, guide, and manage project teams, provide constructive feedback, and support employee growth. High performers should be identified and developed for possible leadership transitions. The role also includes handling performance management, sharing regular progress updates and presentations with stakeholders, and advising the team on complex issues to improve client outcomes.
Qualifications
A bachelor’s degree in a life science or related discipline is required along with at least 12 years of experience in biotechnology project management or a related field, or a master’s degree in a life science or related discipline with at least 10 years of relevant experience. Candidates should also bring at least 5 years of leadership experience in project management, resource scheduling, and timeline control for client deliverables.
Preferred background includes experience mentoring and developing employees through clear expectations, regular check-ins, and ongoing feedback. Knowledge of scientific regulations relevant to CRO environments is preferred, along with prior work in biotech, pharmaceutical, CRO/CMO, or similar settings. Strong proficiency with project management software is expected, with Smartsheet preferred, and PMP certification is an advantage.
Additional strengths needed for the role include strong communication skills, comfort working with internal stakeholders and clients, advanced Microsoft Office skills, close attention to detail, the ability to handle multiple priorities under time pressure, solid organizational and project administration ability, and a proactive, self-directed work style.
Work environment and schedule
This is a full-time, site-based position in the Raleigh-Durham, NC area. The role is primarily office-based and requires in-office attendance to support coordination and collaboration. Some flexibility in working hours may be available, but the employee must be available during the core hours defined in the company handbook. Occasional evening, weekend, and holiday work may be required.
The role involves regular use of standard office equipment. Physical demands include remaining upright or stationary for up to eight hours per day, performing repetitive hand movements for office equipment, using computer software, communicating clearly with others, working with diverse groups, handling concentrated work periods, adapting to changing tasks, working under stress, multitasking, and maintaining regular attendance.
Supervision details
The position supervises Project Managers, Project Coordinators, and Data Coordinators depending on business needs. Oversight is limited and the role is expected to exercise significant independent judgment and discretion.
