Job summary

K2 Data Centres, part of Kuok (Singapore) Limited, is hiring an Administrative Assistant for its Dublin, Ireland operations. The role supports human resources, general office administration, visitor and event coordination, and the smooth running of data centre facilities.

Training management

  • Plan and coordinate training for the Operations team, making sure required sessions are arranged and tracked in Easy Generator and Success Factors.
  • Create toolbox talk content in Microsoft Forms and move it into the Easy Generator platform.
  • Handle training nomination forms, including approvals and record-keeping.
  • Oversee training auto-release activities through the DFM ticketing system.

Event organization

  • Support the planning and delivery of company events in Ireland, including Christmas and summer gatherings, by arranging venues, food and drinks, accommodation, transport, and entertainment.
  • Help identify and support corporate social responsibility initiatives that strengthen community involvement.

Visitor management

  • Arrange refreshments for meeting rooms when needed.
  • Welcome visitors professionally and ensure they receive a friendly reception.

Inductions

  • Act as the main contact for site inductions, including updating records in Easy Generator and managing retention timelines for induction data.

Personal protective equipment and uniforms

  • Coordinate orders and replenishment of uniforms and PPE across the facilities.
  • Process uniform approval forms and related documentation.
  • Monitor PPE stock levels and place reorders as required.

Human resources support

  • Act as the first point of contact for HR queries in Ireland and provide guidance on company policies and procedures.
  • Work with the Group HR team to manage onboarding and offboarding from start to finish.
  • Keep employee records updated and support compliance with Irish employment laws and regulations.
  • Partner with HR Business Partners to help develop and roll out HR policies and procedures.
