Role Summary
The Accounts Payable Analyst is responsible for managing vendor relationships and payments with precision. This role involves vendor setup for Electronic Funds Transfer (EFT), invoice processing, reconciling accounts, and ensuring vendor payments align with agreed terms. The analyst will work closely with internal teams to maintain compliance with company policies and deliver efficient weekly payment cycles.
Responsibilities
- Monitor and analyze outstanding accounts payable invoices and vendor statements to ensure payments adhere to terms.
- Process invoices accurately with appropriate coding and approvals to support scheduled payment runs.
- Manage vendor EFT setup and verify existing banking details are current and accurate.
- Conduct penny testing for new vendor EFT information to validate banking details prior to transactions.
- Investigate and resolve discrepancies such as payment disputes or billing errors in coordination with vendors and internal departments.
- Maintain effective communication with vendors, providing timely updates on payment statuses and performing vendor administration tasks.
- Safeguard sensitive company information and uphold internal control policies.
- Collaborate with operations and management to enhance workflow efficiencies and recommend process improvements.
- Assist with additional duties and special projects as assigned.
Qualifications
- Bachelor’s degree in Business, Accounting, Finance, or related field.
- Two to three years of experience in accounts payable or related finance functions; utility industry experience is advantageous but not mandatory.
- Proficiency in Microsoft Excel including pivot tables, VLOOKUPs, and formula use.
- General accounting knowledge and familiarity with ERP systems, preferably Microsoft Dynamics.
- Understanding of the procure-to-pay cycle, invoice processing, and three-way matching.
- Skilled in account reconciliation and troubleshooting discrepancies.
- Detail-focused with strong analytical and problem-solving capabilities.
- Ability to handle high transaction volumes and meet strict deadlines.
- Strong organizational skills with effective multitasking and time management.
- Excellent verbal and written communication skills.
- Team-oriented with ability to work collaboratively with vendors and internal stakeholders.
