Job Summary
The Accounts Payable Accountant is responsible for managing prompt and accurate invoice processing, executing payments, and maintaining vendor account reconciliations using SAP. This role ensures compliance and accuracy with supporting documentation and approvals, oversees ageing reports, and assists in cash flow management. Additional duties include handling fixed asset accounting, month-end closings, financial reporting, and keeping well-organized records adhering to audit guidelines.
Key Responsibilities
- Process and record supplier invoices in SAP within the month of receipt, ensuring all necessary documentation is complete including Original Tax Invoice, Purchase Order (PO), and Goods Receipt Note (GRN).
- Collaborate with department heads to ensure timely submission of invoices and secure approval from the Finance Manager for any delayed invoices before posting.
- Prepare and execute supplier payments via cheque and online bank transfers, posting these simultaneously in SAP.
- Confirm payment documentation such as valid tax invoices, PO & GRN, and supplier bank details on company letterhead before processing.
- Maintain proper records of post-dated cheque (PDC) copies, advance payments, and collect payment receipts from suppliers.
- Perform vendor and customer account reconciliations, verify balances before offsetting, and follow up on trade accounts for purchases and sales.
- Conduct monthly reconciliation of custom duty accounts before making payments.
- Regularly review creditor ageing reports on a weekly and monthly basis, submitting detailed reports to the CFO and Finance Manager before month-end.
- Manage vendor ageing reports including specific accounts such as MHG and Blue Seafood at month-end.
- Record fixed assets in SAP upon receipt of required documents and maintain monthly monitoring of fixed asset records.
- Ensure all expenses are recognized within the appropriate accounting period, prepare provisions for any unrecorded expenses, record prepayments, and reconcile them in Excel and SAP.
- Support the Finance team during month-end closing activities.
- Generate and distribute daily cheque reports to senior leadership and relevant departments.
- Ensure immediate posting of inter-company bank transfers on the day of transactions.
- Prepare payment documentation for local supplier payments exceeding AED 100,000 for TR Loan processing, securing CFO approval prior to payment execution.
- Maintain comprehensive filing systems for supplier documents, payment records, PDCs, supplier contacts, advance payments, and supporting calculation sheets to comply with internal audits and documentation standards.
- Undertake any additional tasks assigned by the department supervisor to address business needs as they arise.
