Role Overview
The Supply Chain Coordinator is responsible for the efficient daily management of NXTRND's supply chain operations. Reporting to the Head of Supply Chain and Supply Chain Manager, this role involves overseeing inventory flows, liaising directly with factories and logistics partners, preparing accurate shipping and commercial documentation, scheduling freight pickups, and ensuring precise processing of all inbound and outbound shipments. This position demands meticulous attention to detail, excellent follow-through, and the capacity to handle numerous time-critical operational tasks.
Key Responsibilities
- Coordinate daily transfers of inventory among factories, warehouses, fulfillment centers, retailers, and other distribution points.
- Maintain and reconcile accurate inventory transfer records across internal and partner systems.
- Prepare, verify, and manage packing lists, commercial invoices, bills of lading, and other pertinent shipping documents.
- Arrange freight pickups and deliveries via carrier, freight forwarders, and customer transportation portals.
- Submit advance shipping notices accurately within required deadlines.
- Process customer and intercompany invoices related to shipments and inventory movements.
- Confirm shipment specifications including carton counts, weights, dimensions, pallet configurations, and labels before dispatch.
- Coordinate appointment scheduling and delivery bookings with warehouses, retailers, and distribution partners.
- Monitor shipments from pickup to delivery, promptly addressing any delays, shortages, or documentation issues.
- Maintain thorough and organized records for purchase orders, shipments, inventory transfers, invoices, ASNs, BOLs, and proof of delivery.
- Collaborate with Finance to verify accuracy of shipment quantities, invoices, freight charges, and receiving records.
- Report and escalate discrepancies in production, inventory, freight, or documentation to senior supply chain management.
Required Skills and Qualifications
- Exceptional attention to detail with high accuracy in documentation and data entry.
- Strong organizational abilities and effective time management skills.
- Capacity to manage a large volume of transactions, deadlines, and follow-ups daily.
- Proficiency with Microsoft Excel and various web-based logistics and transportation portals.
- Experience preparing shipping and commercial documentation such as packing lists, commercial invoices, BOLs, ASNs, and shipping labels.
- Familiarity with inventory management tools, warehouse management systems (WMS), ERP, EDI, and order management systems.
- Excellent written communication skills for interaction with factories, freight partners, warehouses, and internal teams.
- Ability to quickly identify and resolve operational discrepancies and issues.
- Reliable and methodical in executing detailed processes.
- Prior experience in supply chain, logistics, freight coordination, inventory control, or order fulfillment preferred.
Additional Information
- Work Location: Onsite at the Old Port of Montreal, Quebec, Canada.
- Work Schedule: Monday through Friday, 9:00 AM to 5:00 PM.
- Experience: Minimum of 3 years in supply chain coordination.
- Job Type: Full-time in-office position.
