Overview
The Site Administration Lead oversees all administrative and operational activities for a large-scale Green Hydrogen project site, ensuring smooth daily operations and supporting project teams, contractors, and stakeholders throughout the project's duration.
Key Responsibilities
- Develop and implement site administration frameworks, policies, and procedures.
- Coordinate comprehensive administrative tasks essential for project execution.
- Manage the efficient operation of site offices, meeting venues, and common amenities.
- Maintain accurate site documentation, records, and administrative reports.
Accommodation and Camp Management
- Supervise accommodations for employees and contractors, including camp facilities.
- Manage room assignments, occupancy tracking, and welfare provisions.
- Ensure accommodation meets company standards and local regulatory requirements.
Transportation and Logistics
- Organize transportation services for staff, visitors, and contractors.
- Oversee vehicle deployment, fleet management, and driver supervision.
- Track transportation expenditure and service performance.
Facility and Security Management
- Manage housekeeping, catering, maintenance, and utility services.
- Ensure office equipment and infrastructure are functional and well-maintained.
- Coordinate maintenance and preventive repair works.
- Collaborate with security providers to enforce site access control and compliance.
- Monitor security incidents and implement corrective measures.
Contractor and Vendor Management
- Administer contracts concerning administrative service providers.
- Evaluate vendor performance for quality assurance.
- Handle service requests, invoicing, and purchase requisitions efficiently.
Compliance and Governance
- Ensure adherence to labor laws, environmental standards, and internal policies.
- Assist during audits and inspections related to site administration.
- Maintain mandatory records and licenses.
Employee Welfare and Engagement
- Support welfare programs for employees on-site.
- Address concerns related to accommodation, transportation, and general welfare.
- Coordinate medical, emergency, and recreation services.
Budgeting and Cost Management
- Plan and oversee site administration budgets.
- Monitor spending and identify opportunities for cost efficiency.
- Ensure timely invoice processing and vendor payments.
Stakeholder Coordination
- Liaise with project management, HR, HSE, procurement teams, and contractors.
- Facilitate visits by clients, government officials, and senior leadership.
- Enable effective communication between on-site teams and corporate departments.
