Overview
Parsons is seeking a highly capable Senior Project Coordinator to join its Qatar team. The role focuses on leading the setup, improvement, and day-to-day performance of the Document Control System (DCS) and related project coordination activities. A key part of the job is ensuring that every document received or issued is managed with exceptional accuracy, tracked properly, filed correctly, and archived according to client procedures. The position also involves supervising a team and collaborating with internal departments and outside stakeholders to improve consistency, visibility, and efficiency across document handling and project workflows.
What you will do
- Create and maintain an effective document control framework that supports document management, retrieval, and archiving.
- Protect departmental records and ensure all incoming and outgoing documents are processed, filed, and archived with a zero-error standard.
- Examine client document control policies and procedures, then carry out gap assessments to identify improvement areas.
- Recommend and roll out better systems and working methods that strengthen document control and project coordination in line with industry good practices.
- Carry out routine file checks and validation audits to confirm compliance with client quality requirements and regulatory rules, and flag issues for corrective action.
- Ensure internal procedures are followed for document submission, retention, destruction schedules, and regulatory compliance.
- Monitor and enforce document naming standards and filing conventions.
- Track inbound and outbound emails, record them appropriately, and ensure related follow-up actions are completed on time.
- Support clear communication between internal teams and external stakeholders so document control and broader coordination activities stay aligned.
- Follow up on action plans across departments and make sure document-related tasks are completed within required timelines.
- Prepare detailed progress updates on applications, projects, and document control metrics for senior management.
- Handle additional duties as needed, while prioritizing work independently with limited supervision.
Required background
- Bachelor’s degree in Information Management, Business Administration, or another related field is strongly preferred.
- At least 10 years of relevant experience in document control system development and project coordination, including team leadership experience.
- Prior exposure to Integrated Workplace Management Systems (IWMS) or a similar platform.
- Working knowledge of building permit processes and the documentation that supports them.
- Strong command of software tools such as MS Office, including advanced Excel, Adobe, and EDMS solutions.
- Broad familiarity with real estate or facilities management operations.
