Receptionist

About the Role

VisaEnvoy, a reputable migration consultancy based in Melbourne, is seeking a full-time receptionist to join their team. The receptionist will support Migration Agents and Lawyers, contributing significantly to the client experience and office operations.

Primary Responsibilities

• Handle telephone inquiries professionally and promptly.
• Manage appointment bookings and reschedules.
• Welcome clients warmly upon arrival to the office.
• Prepare invoices, service agreements, statements, and process payments effectively.
• Provide administrative and clerical support to Migration Agents and Lawyers.
• Perform additional administrative tasks such as typing, proofreading, drafting articles, and transcription.

Qualifications and Skills

• Well-presented, friendly, highly organized, reliable, and detail-oriented individual.
• Adaptable and capable of thriving in a dynamic, busy migration firm environment.
• Prior experience as a receptionist in legal or migration settings is highly preferred.
• Empathy towards clients and their families, particularly those from culturally and linguistically diverse (CALD) backgrounds.
• Strong communication and interpersonal skills with a sensitivity to client needs.
• Ability to multitask and work efficiently under pressure.
• Competent computer skills, including experience with Customer Relationship Management (CRM) software.
• At least one year of experience in administrative support within professional services.
