Role Overview
We seek a dedicated, emotionally intelligent Receptionist with a true passion for animals to join our team as the initial point of contact for clients and their pets. This role is vital to managing front-desk operations and optimizing client experiences within a dynamic, animal-focused environment. The position demands professionalism, strong emotional awareness, meticulous attention to detail, confidence around pets of various types, and a deep commitment to outstanding service. Establishing enduring client-pet relationships is central to this role rather than merely handling administrative tasks.
Key Responsibilities
- Foster authentic and lasting connections with clients and their pets, creating personalized experiences informed by awareness of their preferences and histories.
- Welcome clients and pets warmly and professionally, maintaining a calm and inviting atmosphere.
- Proactively engage with regular clients, managing follow-ups post-appointments or stays.
- Handle communications across phone, WhatsApp, and email promptly and professionally.
- Schedule and coordinate appointments and bookings for various services, ensuring accuracy and clarity.
- Inform clients thoroughly about all services offered within the group.
- Collaborate effectively between grooming, training, boarding/daycare, veterinary teams, and clients to streamline operations and manage appointment flow.
- Provide empathetic updates regarding pets’ visits or stays to clients.
- Maintain precise, up-to-date client and pet records, ensuring diligent documentation and filing.
- Support reception functions with booking tools, communication platforms, and AI-integrated workflow systems.
- Process financial transactions including invoicing, payments, receipts, and maintain financial records accurately.
- Keep the reception area professional, tidy, and welcoming, ensuring a safe and comfortable environment for both clients and animals.
- Coordinate inventory, verify deliveries and expiry dates, maintain stock records, and support retail activities and promotions as needed.
Candidate Requirements
- Outgoing, warm personality with a genuine affinity for dogs and cats and readiness to work daily in a pet-centered setting.
- Fluent English communication skills, both spoken and written, tailored to professional customer service contexts.
- Proficiency in spoken Arabic is highly desirable and will be viewed as a strong benefit.
- Eligible candidates should currently reside in the UAE and be able to commence employment immediately or shortly thereafter.
- Ability to maintain composure and professionalism under pressure.
- Strong organizational and multitasking expertise.
- Comfortable with office software, booking systems, WhatsApp automation, and eager to learn new AI tools.
- Previous experience in receptionist, customer service, hospitality, healthcare, or veterinary roles within the UAE is advantageous.
- Open to candidates from all backgrounds who are legally authorized to work in the UAE.
