Role overview
This opportunity is being promoted on behalf of a partner employer that handles applications and the subsequent hiring steps. The partner is seeking an Operations Administrator located in the United States.
In this role, you will support day-to-day business operations and help coordinate technical service work. You will provide administrative assistance to keep projects organized, records accurate, and client service running smoothly. The position involves scheduling support, documentation management, compliance-related coordination, and general process support. It is well-suited to an organized professional who can balance multiple priorities, work independently, and contribute to better workflows and stronger client relationships in a technical services setting.
Key accountabilities
- Deliver administrative assistance to operations teams by handling scheduling, coordination, and tracking for service projects.
- Keep service-call records, testing logs, maintenance details, and project files accurate and up to date.
- Create, update, and arrange job folders, reports, and customer documentation.
- Support compliance administration, including certificates of insurance, vehicle and business insurance records, and claim-related follow-up.
- Help with business licensing tasks across multiple states, including registrations with the appropriate state authorities.
- Compile client-facing reports covering service activity, testing outcomes, and recommended next steps.
- Serve as a communication link among clients, field technicians, and management to support smooth project delivery.
- Answer client questions, share project status updates, and help resolve issues.
- Enter and maintain project, job, and maintenance information in company software and databases.
- Assist billing and invoicing activities by making sure project costs and records are correct.
- Look for ways to improve administrative procedures and overall operational efficiency.
Requirements
The ideal applicant is a detail-focused administrative professional with experience supporting operations or project coordination. You should be comfortable managing competing priorities, communicating clearly, and working on your own in a remote environment.
- High school diploma or equivalent is required; an Associate’s or Bachelor’s degree in business administration, operations management, or a related area is preferred.
- At least 2 years of experience in administrative support or operations support is required.
- Background in electrical, construction, technical services, or a similar industry is preferred.
- Experience with an accredited electrical testing organization is considered an advantage.
- Strong planning and organizational ability, with the capacity to prioritize and handle several projects at once.
- Excellent written and spoken communication skills.
- Comfort using Microsoft Office tools, especially Excel, Word, and Outlook.
- Prior use of project management tools, CRM platforms, or operational databases is preferred.
- High accuracy and strong attention to detail in documentation, reporting, and recordkeeping.
- Ability to work independently while still collaborating effectively with others.
- Good problem-solving skills and the flexibility to adapt in a changing operational environment.
