Job Responsibilities
- Supervise the centralized storage, organization, and tracking of documents to ensure easy access and management.
- Develop and enhance version control procedures to maintain current document use while preserving historical records.
- Ensure accurate document revision tracking and consistency throughout all versions.
- Oversee distribution processes for internal and external stakeholders, guaranteeing timely and precise information flow.
- Maintain adherence to organizational policies, industry standards, and regulatory frameworks in document formats and templates.
- Control access permissions to protect sensitive information, allowing only authorized personnel entry.
- Support and improve communication channels among team members, stakeholders, and suppliers for document handling.
- Streamline document review and approval workflows, ensuring efficiency and prompt stakeholder endorsements.
- Keep detailed records of document histories including revisions, approvals, and distribution logs vital for audits.
- Produce and analyze reports on document statuses and compliance to assist project management and strategic decisions.
- Identify and implement enhancements in document management processes to ensure continued effectiveness aligned with project requirements.
- Prioritize tasks to meet deadlines and manage document flow efficiently across project phases.
- Resolve complex documentation issues promptly by applying effective solutions.
- Provide leadership and mentoring to junior document controllers promoting teamwork and high performance.
- Fulfill additional responsibilities as required within the scope of the role.
Experience and Qualifications
- At least five years of experience managing project document control, particularly within large-scale metro rail or similarly complex projects.
- Familiarity with quality management, regulatory compliance, and process improvement relevant to the construction industry.
- Proven expertise in document control systems, including compliance, quality assurance, and policy adherence.
- Strong command of document management tools, databases, and software applications.
- Minimum Level 8 degree or equivalent in Project Management, Business Administration, or related field.
- Professional certifications such as Project Management Professional (PMP) or Certified Document Controller (CDC) are advantageous but not mandatory.
Skills
- Expertise in document management systems including SharePoint and specialized software.
- Knowledge of project management methodologies to align document control with organizational objectives.
- Understanding of industry-specific standards, legal regulations, and confidentiality protocols.
- Awareness of data protection practices for secure handling of sensitive documentation.
- Adaptability to evolving project requirements and document management technologies.
- Effective team collaboration and communication skills, both written and verbal.
- Strong organizational skills with the ability to drive quality outcomes independently.
