Position Overview
V-Tronik Innovation LLP is seeking a female HR Admin Manager to join their Bengaluru office, currently located temporarily at Peenya for the next three months before relocating to Infantry Road near Vidhansoudha. The role requires managing comprehensive HR administrative responsibilities with an emphasis on employee documentation, queries, onboarding, reporting, and office coordination.
Key Responsibilities
- Maintain and organize employee records, ensuring proper documentation such as identity proofs, contracts, payroll, and insurance as per company policy.
- Act as the first point of contact for employee inquiries related to attendance, leave, payroll, and company policies, providing onboarding support.
- Oversee administrative HR tasks including attendance tracking, payroll coordination, performance evaluations, and collaboration with finance and IT departments.
- Prepare official HR documents such as employment contracts, recommendation letters, employee handbooks, and vendor agreements.
- Generate periodic HR reports on productivity, payroll expenses, hiring budgets, staff retention, and engagement surveys to assist senior management.
- Coordinate effective onboarding processes by welcoming new hires, completing documentations, assigning resources, and integrating recruits smoothly into the company.
- Manage calendar and scheduling tasks including organizing meetings, appointments, and reminders for management.
- Handle communication duties such as screening calls, managing emails, welcoming visitors, and drafting correspondence.
- Ensure diligent document and record management, including filing, minute-taking, report preparation, and distribution.
- Provide meeting logistics support by arranging venues, resources, and note-taking.
- Support travel arrangements for business trips including flight, hotel, and car bookings along with itinerary planning.
- Conduct office management tasks such as upkeep of supplies and administrative system efficiency.
- Perform additional errands and personal support tasks as required.
- Daily activities include managing Outlook email correspondence, preparing bid documents, vendor communication, commercial and technical comparisons using Excel spreadsheets, tender submissions, and follow-ups with clients and suppliers.
- Meet clients and travel locally and out of station as needed to ensure project coordination.
Working Conditions
Work schedule is six days per week, Monday to Saturday, 9 AM to 6 PM, with Sundays off.
Compensation and Benefits
The monthly salary ranges from INR 30,000 to 50,000 and is negotiable based on experience. Eligible employees are entitled to ESIC/PF, insurance, bonuses, gratuity, leaves as per labor laws, annual increments, travel allowance, and a retention bonus after five years of service.
Candidate Requirements
- Female candidates with 5 to 10 years of relevant HR administrative experience.
- Fluent English communication skills and good typing speed; proficiency in Kannada is preferable.
- Strong MS Excel skills including VLOOKUP, Pivot Tables, spreadsheet formulas, and Microsoft Outlook email management.
- Excellent multitasking, prioritization, time management, and organizational abilities.
- Effective interpersonal and communication capabilities to foster team relationships and manage external and internal stakeholder interactions.
