Job description
Overview
The Home Care Scheduling Clerk III operates as a crucial member of an interdisciplinary team, entrusted with organizing and assigning visits for Home Care Direct Service Staff. This role involves handling all administrative tasks that support service execution, scheduling efficiency, and optimal utilization of resources.
Key Responsibilities
- Manage and update individual staff schedules using the Electronic Scheduling Program.
- Handle service requests and modifications from Home Care Case Coordinators and Direct Service Nurses, assessing available staffing resources accordingly.
- Prioritize and process service requests in concert with Home Care Case Coordinators and DSNs.
- Communicate assignment details to designated workers.
- Inform workers about the commencement or cessation of services.
- Engage with clients to coordinate scheduling when necessary.
- Maintain client information following established protocols.
- Carry out timekeeping duties as required.
- Comply with privacy legislation, including PHIA and FIPPA.
- Record issues and direct them to appropriate supervisors.
- Respond proactively to staff inquiries.
- Plan and arrange substitute staffing in line with HR policies and Collective Agreements, consulting supervisors as needed.
- Escalate employee performance issues to supervisors.
- Recognize and communicate personal learning needs with supervisors.
- Operate within defined role boundaries.
- Undertake additional tasks as assigned.
Qualifications
- Completion of Grade 12 according to MB standards.
- Post-secondary credentials in a health-related field relevant to this position.
- At least two years of customer service experience in a professional environment.
- Minimum one year of experience in staff scheduling functions, preferably using Procura or QHR systems within a collective agreement context.
- One year of related administrative experience.
- Alternative combinations of education and experience may be evaluated.
- Competence in Microsoft Office Suite (Outlook, Word, Excel, Access, PowerPoint) and web-based applications.
- Strong organizational skills with the ability to work autonomously.
- Demonstrated capabilities in problem solving and decision making.
- Adaptability to evolving processes and techniques.
- Solid understanding and application of the skills pertinent to the role.
- Effective communication skills.
- Commitment to confidentiality and respect for cultural diversity.
- Consistent ability to perform job duties reliably.
