About the Company
Our client is a reputable, privately-held investment firm based in premium offices located in the heart of Sydney's Central Business District. This newly created position will provide essential support to the senior management team.
Role Overview
You will serve as the primary representative of the office for visitors and guests while acting as the key support to multiple executives daily. Additionally, you will be expected to confidently step into the Executive Assistant to Managing Director role when necessary.
Key Responsibilities
- Greet and attend to clients and investors, ensuring hospitality includes coffee, tea, and well-prepared sandwiches and scones as standard.
- Coordinate and manage senior executives' calendars, meetings, and travel, anticipating potential scheduling conflicts in advance.
- Create and proofread correspondence, presentations, and reports to a high standard of completion and professionalism.
- Handle screening and management of executive email and phone inquiries with discretion and professionalism.
- Prepare investor-related documents and assist with maintaining CRM and investor management platforms.
- Oversee daily office operations including supply management, vendor coordination, housekeeping, and first-line IT support.
Candidate Requirements
- Previous experience in administrative, executive support, or coordination roles; direct interaction with senior executives is highly valued.
- Minimum of 3 years’ experience as an Executive Assistant, Office Manager, or in senior administrative roles within fast-paced environments such as financial services, real estate, legal, or rapidly growing companies.
- Exceptional attention to detail and a strong commitment to finishing tasks thoroughly rather than simply completing them.
- Confidence in engaging with senior stakeholders and high-net-worth individuals.
- Excellent written communication skills with sharp proofreading abilities.
- Proficiency in Microsoft 365, calendar management, travel arrangements, and expense processing.
- A genuine interest in investment and finance topics, with a willingness to learn—expert knowledge is not required.
