Role overview
In this role, you will act as a dependable administrative and coordination partner to senior leaders. The position focuses on keeping schedules organized, supporting day-to-day operations, and helping executives use their time effectively so business priorities stay on track.
Contract term
This is a direct contract position for 1 year.
Key responsibilities
Calendar coordination (main focus, around 70%)
- Manage the day-to-day calendars of 3 partners, including meeting setup and appointment coordination.
- Draft meeting agendas and short daily briefing notes for executives.
- Handle meeting logistics such as reserving rooms, arranging virtual meeting access, and preparing simple supporting materials.
- Keep calendar records accurate and follow up on any scheduling clashes.
Administrative support (around 20%)
- Provide general administrative assistance to the project team.
- Organize documents and maintain files in shared drives and libraries.
- Support basic project order processing activities under supervision.
- Coordinate responses to routine questions from internal stakeholders.
- Carry out data entry and compile basic information for reports.
Events support (around 10%)
- Assist with logistics for team meetings and events.
- Help with venue booking, catering coordination, and attendee management for basic event requirements.
Other duties
- Take on additional administrative tasks as assigned by supervisors.
Required qualifications
The suitable candidate should bring strong organization, attention to detail, and the ability to work in a busy environment. You should be comfortable handling multiple priorities, communicating clearly, and supporting senior stakeholders with professionalism and discretion.
Training and development
The selected candidate will receive structured onboarding and guidance in calendar management, business priority handling, stakeholder preferences, and project administration. Training on MS Office tools and collaboration platforms will also be provided, along with mentorship from experienced team members.
