About the Role
Join a swiftly expanding creative services firm that specializes in elite event production, experiential marketing, and hospitality experiences. We’re looking for a well-organized, proactive Executive Assistant to be the essential right hand to our Founder. This position suits an individual who thrives in a fast-paced, entrepreneurial setting where daily challenges vary. The chosen candidate will excel at multitasking, communication, and bringing order and accountability to our dynamic organization.
Key Responsibilities
- Oversee the Founder's intricate calendar, priorities, and everyday schedule.
- Develop meeting agendas, produce briefing documents, record notes, and track action items.
- Monitor projects, initiatives, and deadlines, ensuring they progress on schedule.
- Evaluate incoming requests and effectively manage competing priorities.
- Facilitate communication amongst the Founder, leadership team, clients, and external collaborators.
- Conduct research and compile summaries to support strategic plans and business decisions.
- Foresee requirements, address challenges proactively, and eliminate obstacles before they arise.
- Arrange travel, meetings, reservations, and all executive-related logistics.
- Organize leadership meetings and maintain follow-ups.
- Enhance administrative workflows and operational procedures as the organization grows.
- Represent the company professionally with clients, vendors, and external partners.
- Uphold confidentiality while managing sensitive business information.
- Contribute to special projects and support cross-functional initiatives as required.
Qualifications
- Between 3 to 5 years of experience supporting senior leadership, ideally within a creative context.
- Background in executive assistance, operations, project management, agency work, hospitality, or event-related settings is preferred.
- Excellent organizational skills paired with meticulous attention to detail.
- Adept at juggling multiple priorities simultaneously in a demanding environment.
- Exemplary professionalism, discretion, and strong emotional intelligence.
- Competent with Google Workspace and current productivity and project management software tools.
Additional Details
Location: Lower Manhattan, New York
Work Schedule: Hybrid model with Tuesday through Thursday in-office, and Monday & Wednesday remote.
Compensation: Base salary ranging from $70,000 to $85,000 annually depending on experience, plus eligibility for bonuses and comprehensive benefits.
