Executive office support and priority management
The role requires ownership of complex calendars, with attention to strategic meetings, leadership commitments, and governance obligations. It also involves identifying scheduling clashes early and resolving them in advance to make the best use of leadership time. In addition, the assistant prepares concise, high-quality briefing packs, notes, summaries, presentations, and other materials used for decisions.
Execution tracking and follow-through
A major part of the job is monitoring leadership priorities and cross-functional initiatives to make sure work moves forward on time. The Executive Assistant maintains trackers and dashboards, follows up with stakeholders on outstanding actions, and escalates delays when necessary.
Governance and decision support
The position coordinates executive committees, steering groups, and other governance meetings. This includes building agendas around business priorities and decision needs, capturing decisions, risks, and action points, and ensuring items are fully tracked through to closure.
Stakeholder communication
The Executive Assistant acts as the main coordination link between leadership and both internal and external stakeholders. The role also includes drafting official correspondence, executive updates, and reports, while handling sensitive information with a high level of discretion and professionalism.
Administrative excellence and process improvement
Day-to-day work includes maintaining organized records, documentation, and filing systems, as well as arranging logistics for executive meetings, events, and external engagements. The role is also expected to look for ways to improve administrative workflows and coordination practices over time.
Performance expectations
- Use leadership time efficiently through strong planning, scheduling, and prioritization.
- Keep action items moving and close them within agreed timelines.
- Produce polished executive documents with very limited rework.
- Show initiative in coordinating with stakeholders and responding quickly.
- Run governance meetings in a structured way and track outcomes until completion.
Qualifications
- A bachelor’s degree in Business Administration or a closely related discipline is required.
- Applicants should have 6 to 10 years of experience supporting senior executives.
