Role Overview
Kinterra seeks a proactive, well-organized Executive Assistant to support the Partner of Regulatory Affairs & Sustainability, the Global Head of Projects, and the Technical Team. This position is central to executive operations, providing advanced administrative support such as complex calendar management across time zones, international travel planning, executive expense oversight, board and AGM facilitation, and engagement with stakeholders. The ideal candidate will excel in a dynamic private equity environment, anticipate executive needs, make prudent decisions, and enhance operational efficiency throughout Kinterra's expanding global operations.
Key Responsibilities
- Manage intricate calendars for multiple executives across different time zones, ensuring all meetings, executive sessions, and board engagements are timely arranged with thorough preparation.
- Coordinate comprehensive domestic and international travel arrangements including flights, accommodations, ground transport, and visa handling, as well as effectively troubleshoot travel issues.
- Handle executive corporate card administration, reconcile expense reports, and ensure adherence to company financial policies.
- Serve as a polished point of contact for executives with internal teams, portfolio firms, and external partners; draft correspondence, presentations, and communications; build strong relationships with Finance, HR, Project Directors, and Investment teams.
- Organize logistics for board meetings including scheduling and materials distribution; contribute to ad hoc projects and initiatives as needed.
Required Qualifications
- Between 2 and 5 years of escalating experience as an Executive Assistant supporting high-level executives such as Partners, Managing Directors, or C-suite leaders.
- Experience in Private Equity, Legal, or Financial Services sectors.
- Excellent communication skills both verbal and written.
- Demonstrable professionalism, confidentiality, and integrity when managing sensitive information.
Preferred Background
- Previous involvement in Private Equity, Investment Management, or Legal industries.
- Familiarity with mining, infrastructure, or multinational business environments.
- Experience supporting executives operating across various geographies and time zones.
