Job Overview
Based in Mississauga, Ontario, this role offers a unique opportunity to join the Canadian leadership team as an Executive Assistant. The successful candidate will provide comprehensive administrative and operational support, managing complex schedules, facilitating communication across teams, and ensuring smooth organizational operations.
Duties and Responsibilities
- Oversee and coordinate team calendars and meetings for optimum time management.
- Prepare agendas, presentations, reports, and document meeting minutes when required.
- Maintain confidential files and an organized document management system.
- Arrange detailed travel plans including itineraries, lodging, and related documentation.
- Support expense reporting and budget monitoring across business units.
- Act as the main contact for internal and external partners on behalf of the company.
- Facilitate clear and aligned communication among different teams.
- Manage vendor relations for office supplies, equipment, and services ensuring cost efficiency.
- Procure necessary materials and supplies for office and remote staff needs.
- Maintain office equipment, furniture, and security to uphold a safe working environment.
- Identify and resolve operational challenges to keep priorities on track.
- Coordinate distribution and communication of Canadian HR policies to support employee awareness and compliance.
Qualifications and Skills
- A bachelor’s degree or an equivalent mix of education and relevant experience.
- Minimum of three years serving as an Executive Assistant in similar settings.
- Familiarity with regular team communication, policy distribution, and information coordination.
- Experience in maintenance program development and asset management.
- Proficient in Microsoft Office suite including Excel, PowerPoint, Word, and Outlook.
- Preferred knowledge of workplace safety regulations and industry standards.
- Background in building or property management is beneficial.
- Experience managing a secure, compliant office environment supporting HR policies is advantageous.
- Strong verbal and written communication skills with all organizational levels.
- Effective leadership and problem-solving capabilities along with the ability to motivate team members.
- Excellent organizational and time management skills to handle multiple priorities and meet deadlines efficiently.
Compensation and Benefits
The annual salary ranges from $68,000 to $85,000, depending on factors such as market trends, experience, location, and internal equity. The compensation package is complemented by additional incentives and awards. Benefits eligible employees enjoy medical, dental, vision coverage, life and disability insurance, 401k plans, paid holidays, and vacation time.
