Role Overview
We are looking for a well-organized and proactive Assistant to provide comprehensive support to the Australian Equities team. Reporting directly to the Equities Chief Operating Officer, the role demands managing daily operations smoothly while delivering high-quality administrative and coordination assistance to the team.
This trusted position requires strong judgment, discretion, and a high level of ethical integrity. Success in this role depends on excellent communication skills, superb organizational capabilities, the aptitude to forge effective workplace relationships, and a practical, solution-oriented mindset, especially in a fast-paced setting.
Key Responsibilities
- Deliver daily administrative aid ensuring the Equities team operates efficiently.
- Organize and manage calendars and email inboxes, arranging both internal and external meetings.
- Coordinate meeting logistics including booking rooms and catering.
- Arrange domestic and international travel plans including flights, lodging, and other logistics adhering to company policies.
- Handle expense processing through Concur, ensuring expenses are submitted and reconciled promptly.
- Serve as a primary contact point for both internal and external parties.
- Manage all team communications including phone, email, and general correspondence.
- Provide front desk assistance such as greeting visitors and managing calls when required.
- Assist with organizing client meetings, roadshows, and corporate events.
- Maintain accurate filing systems and databases, including scanning, printing, and electronic filing.
- Monitor office supplies and place orders for stationery as needed.
- Manage courier services and oversee incoming and outgoing deliveries.
- Support ad hoc projects, conduct research, and contribute to wider team initiatives.
- Offer assistance to the Corporate Access team when necessary.
- Provide front of house coverage as required.
- Maintain confidentiality across all communications and materials.
Requirements & Experience
- Prior experience in an administrative or team assistant role preferably within financial services.
- Exceptional organizational skills with capacity to juggle multiple priorities and meet deadlines.
- Meticulous attention to detail including accurate data entry and record maintenance.
- Proficient user of Microsoft Office applications including Word, Excel, and Outlook.
- Experience with Concur or comparable expense management tools is highly advantageous.
- Outstanding written and verbal communication capabilities along with a professional and confident telephone presence.
- Demonstrated ability to multitask, prioritize workload, and work under pressure effectively.
- Strong interpersonal skills enabling robust relationship building across teams.
