Role Overview
The Administrative Coordinator supports the Rare Disease Global Marketing leadership by offering comprehensive administrative and operational assistance. This position requires excellent organizational abilities, judicious decision-making, discretion, and the capacity to manage multiple priorities within a dynamic, fast-pace setting. The coordinator serves as a trusted partner to executives, cross-functional stakeholders, and administrative teams, helping to streamline operations and promote accountability.
Key Responsibilities
- Manage complex executive calendars across multiple global time zones, aligning schedules strategically and optimizing use of time.
- Proactively identify scheduling conflicts and develop solutions in collaboration with executives, administrative partners, and stakeholders.
- Organize domestic and international travel plans including scheduling, logistics, and expense reporting with adherence to policies.
- Facilitate congresses, conferences, and important meetings by handling registrations, travel, accommodation, transportation, and onsite coordination.
- Oversee meeting logistics such as venue booking, catering, audiovisual setup, room arrangements, and facility requests.
- Handle operational duties including purchase orders, invoice processing, vendor coordination, mailing, and courier services.
- Maintain departmental contact lists, organizational charts, and key stakeholder databases to support awareness of priorities and partnerships.
- Track action items and follow-ups ensuring timely completion and accountability.
- Support special projects and events including leadership summits, off-sites, team-building, and onboarding initiatives.
- Provide backup assistance to administrative colleagues and foster a cooperative, high-performance team environment.
- Identify opportunities to enhance administrative workflows and promote continuous improvement.
Qualifications and Skills
- Associate degree with minimum two years of administrative experience OR completion of technical schooling with hands-on experience OR high school diploma/GED with four years of administrative experience.
- Preferred: At least five years supporting senior leaders in a fast-moving, matrixed corporate environment.
- Excellent verbal and written communication skills enabling effective stakeholder interactions at all organizational levels.
- Advanced skills in Microsoft Office applications including Outlook, PowerPoint, Excel, and Word.
- Familiarity with SAP, MyBuy, Concur, Microsoft Teams, WebEx, SharePoint, Microsoft Copilot, and AI-augmented productivity tools.
- Background or experience in biopharmaceutical, healthcare, or life sciences sectors.
- Demonstrated professionalism and discretion in handling sensitive and confidential information.
- Strong interpersonal aptitude with ability to build trust, collaborate, and maintain composure under pressure.
