Role Overview

The Administrative Coordinator is essential to maintaining efficient people operations and smooth office administration throughout the UAE. This role supports various HR processes, enhances employee experience efforts, and manages day-to-day office coordination. Close collaboration with the People team, Finance department, and external vendors ensures precise and professional handling of HR and operational tasks.

Key Responsibilities

  • Serve as the primary contact point at the reception, greeting visitors and managing incoming calls effectively.
  • Oversee purchase order creation, manage meeting room reservations, and coordinate general administrative duties.
  • Procure and track stationery and office supplies, liaising with suppliers to maintain inventory.
  • Support routine office operations, including visa processing, medical insurance administration, and maintaining employee documentation.
  • Assist in organizing internal events and boosting employee engagement activities.
  • Maintain an inviting, well-organized, and efficient office environment for all team members.
  • Assist in daily HR operations and manage employee lifecycle activities.
  • Coordinate onboarding and offboarding processes ensuring smooth transitions.
  • Keep precise employee records within HR information systems.
  • Support leave management, attendance monitoring, and handle HR queries through the employee self-service portal.
  • Contribute to payroll activities by verifying data accuracy and associated documentation.
  • Manage rewards administration tasks such as salary adjustments, bonuses, and commissions.
  • Act as a liaison between employees, HR, Finance, and external service providers to facilitate clear communication.
  • Assist in preparing HR-related reports, trackers, and necessary documentation.

Candidate Profile

  • Bachelor's degree in Human Resources, Business Administration, or a related discipline.
  • Between two to four years of experience in HR and/or administrative coordination, preferably with exposure to UAE work environments.
  • Familiarity with UAE labor laws and HR policies is advantageous.
  • Excellent organizational skills coupled with strong communication abilities.
  • Meticulous attention to detail with the capability to manage diverse tasks simultaneously.
  • Proficient in HR systems and Microsoft Office applications.
